Rental Supervisor

Full-Time

The Rental Supervisor oversees the daily upkeep, cleanliness, and operations of the Kittiwake rental area and apartment units, ensuring that the property and accommodations consistently meet Quail Ridge standards. Coordinate housekeeping, laundry, maintenance, inspections, inventory, and guest services while maintaining the professional appearance of the rental area. Work closely with the Rental Program Manager, outsourced service providers, and other Club departments to ensure units are properly maintained, guest-ready, and presented to the highest standards.

Essential Functions

Property Operations and Inspections

• Oversee the overall appearance, cleanliness, and upkeep of the Kittiwake rental area, recognizing that the property serves as an important first impression for prospective buyers, members, and guests.
• Conduct and document daily quality inspections of the rental area and apartment units, ensuring that the property, furnishings, and accommodations meet Quail Ridge standards.
• Perform check-out inspections and inventory apartment contents to verify that furnishings, equipment, and supplies are present and in good condition. Report missing, damaged, or questionable items to the appropriate manager.
• Work directly with the Rental Program Manager and outsourced service providers to inspect units and address deficiencies.
• Ensure outsourced housekeeping staff are trained to promptly report maintenance concerns, property damage, unusual activity, and other irregularities.
• Identify and report concerns affecting the rental area's appearance or safety, including damaged lighting, landscaping issues, road conditions, dumpster enclosures, and unauthorized or unfamiliar vehicles.
• Assist with summer/off-season home inspections in coordination with the Housekeeping Manager and Rental Program Manager.

Housekeeping, Laundry, and Inventory

• Coordinate daily rental operations and schedule weekly apartment cleanings in collaboration with the housekeeping team.
• Supervise housekeeping staff and inspect completed units to verify cleanliness, presentation, and readiness for incoming guests.
• Identify cleaning deficiencies and coordinate corrective action to ensure established standards are consistently maintained.
• Monitor and maintain inventory of rental-unit supplies, linens, toiletries, and other necessary items.
• Coordinate weekly linen and laundry needs with the Laundry Department to ensure adequate supplies are available.
• Restock missing or damaged supplies and deliver towels, housekeeping items, and other requested items to rental units as needed.
• May be required to strip units of dirty linens, clean units, and prepare the readiness of a unit as needed.

Maintenance and Vendor Coordination

• Perform basic maintenance and upkeep as needed, including changing light bulbs, tightening screws, moving furniture, clearing leaves from sidewalks, and assisting with power washing.
• Troubleshoot basic issues involving Yale electronic locks, Wi-Fi connectivity, Xfinity service, and cable boxes.
• Assess reported maintenance issues and determine whether they can be resolved directly or require assistance from another department or outside vendor.
• Coordinate maintenance requests with the appropriate departments or vendors and follow up to help ensure timely resolution.
• Report significant maintenance, safety, or property concerns to the Rental Program Manager or appropriate department.

Guest Services and Member Relations

• Interact professionally with members and guests, fostering positive relationships and providing service consistent with Quail Ridge standards.
• Respond promptly and professionally to guest inquiries, comments, and complaints, resolving routine concerns when possible and escalate significant or unresolved matters to the Rental Program Manager.
• Respond to urgent guest needs, including after-hours issues, as required.
• Coordinate with other Club departments to address concerns affecting guest accommodations and overall satisfaction.
• Provide assistance with guest requests, including delivering supplies and helping resolve basic in-unit service issues.
• Recommend improvements to rental operations, property presentation, and guest services.

Staff Supervision and Administrative Support

• Supervise daily work activities and coordinate assignments to support efficient rental operations.
• Work closely with the Rental Program Manager to oversee outsourced staff, monitor service quality, and maintain consistent operational standards.
• Support the Rental Program Manager with daily operations and provide backup assistance as needed.
• Use Chorum software to support rental operations and complete related administrative tasks.
• Maintain effective working relationships with external vendors, including outsourced housekeeping providers.
• Operate a golf cart or utility vehicle as required to perform daily responsibilities and report safety concerns to Security and the immediate supervisor.

Physical Requirements

• Ability to lift and carry up to 50 pounds, including supplies, linens, furniture, and housekeeping materials.
• Ability to perform physical tasks associated with inspecting, maintaining, and preparing rental units and common areas.
• Ability to operate golf cart and/or utility vehicles to transport items and inspect units.

Additional Responsibilities

• Perform other duties as assigned by management.

Education and experience

• High School Diploma or equivalent required.
• Bachelor's Degree preferred, preferred major in Hospitality management.
• Previous housekeeping experience required
• Supervisor/management experience required.
• Computer experience required, including but not limited to Word, Excel, and Outlook.
• Effective verbal and written communication skills and sound leadership skills in balancing the effectiveness of the operation.
• Must be highly skilled in customer service and addressing guest needs.
• Lifting up to 50lbs is required for moving supplies, furniture, housekeeping supplies in rental units.
