Overview:Prepares all event documentation and coordinates with property departments and customers to ensure consistent, high-level service throughout the planning, event, and post-event phases of property events. Ensures a seamless transition from sales to service back to sales. Recognizes opportunities to maximize revenue by up-selling and offering enhancements to create outstanding events. Serves as the meeting planner’s primary contact (following turnover) on the property and is responsible for his/her experience. Coordinate all aspects of event as assigned by the Director of Catering & Convention Services to include but not limited to: food and beverage requirements, effective meeting space usage, audio-visual requirements, guestroom types and rooming lists, function room set up, group transportation, check in and check out needs, billing, telephone and internet requirements, box storage and delivery, power requirements, expected food and beverage outlet usage, business center requirements, entertainment, leisure activities, décor requirements.

Responsibilities:

  • Displays leadership in guest hospitality, exemplifies excellent customer service, and fosters a positive guest-relations atmosphere.
  • Manages the planning, execution, and supervision of assigned conventions, including sales, negotiations, and conflict resolution.
  • Communicate all event specifications and history to the appropriate department.
  • Accurately forecasts group guestroom and banquet revenues according to established guidelines.
  • Promotes the proper use of function space and overall event spaces. Maximizes event revenue by promoting all available goods, services, attractions, and subcontractors to the convention.
  • Oversee contracted group room blocks to include cutoff, attrition, etc.
  • Plans and develops event programs, resumes, agendas, and services in accordance with client requirements and established guidelines.
  • Manages group room blocks and meeting space for assigned groups.
  • Creates external communications to include contract addenda, introductory letters
  • Hosts Planning Meetings, Site Inspections, and Pre-Convention Meetings as outlined in departmental guidelines.
  • Verifies that all events adhere to company policies, fire department regulations, state liquor laws, and other applicable government regulations.
  • Proactively achieve consistently high Medallia scores through establishing good rapport with the client, preparing work accurately, being visible during the conference to ensure the client’s expectations have been met, and coordinating post-event feedback sessions.
  • Ensures that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.
  • Greetings, customer. During the event phase, hand off to the Operations team for execution of details.
  • Adheres to all standards, policies, and procedures.
  • Supports Accounting with the billing process by providing updated estimates, conducting bill reviews with clients prior to processing the final bill, and supporting commission and rebate processes.
  • Identifies operational challenges associated with his/her events and determines how to best work with the property staff and customers to solve these challenges\ and/or develop alternative solutions.
  • Uses his/her judgment to integrate current trends in event management and event design.
  • Sets goals and delegates tasks to improve hourly staff performance.
  • Attend and actively participate in all pertinent meetings.
  • Celebrate successes and publicly recognize the contributions of team members, including consistent use of OSC cards
  • Champions all standards, policies, and procedures for the Event Planning team.
  • Take an active role in training and development of hourly associates

Experience:

  • Flexible work hours include weekends and holidays in order to meet the demands of a 24-hour operation
  • Excellent communication skills in all aspects: verbal, written, and non-verbal
  • High school diploma or GED
  • Bachelor’s degree preferred
  • 1 year of experience in event services as a manager in a hotel property
  • Appropriate, professional appearance and presentation
  • Strong computer knowledge, with technical ability and/or aptitude to fully use Microsoft Word, Delphi, Excel, Outlook, and other management systems
