Summary

The Human Resources Assistant oversees HR operations at the hotel in accordance with established procedures and pertinent local, state, and federal regulations. The role reports directly to the Director of Human Resources and is responsible for the precise and timely entry of employee data into the HRIS system (Kronos). This position entails processing data for prospective candidates, conducting employment reference verifications, and managing pre-employment and onboarding procedures for new employees. Furthermore, the Assistant will engage in various company projects aimed at organizational development and improvement.

Essential Functions

  1. Assist in managing all recruiting and hiring efforts, including but not limited to: writing and placing job advertisements, creating and executing recruiting plans for various positions, and supervising initial screening processes.
  2. Support staff retention and motivation initiatives, collaborating with support staff to develop or revise programs as needed for the hotel.
  3. May assist with hotel-level payroll functions, ensuring all forms are properly completed, records are maintained, and retention policies are followed.
  4. Maintain employee personnel files, ensuring compliance with HR audit requirements. Prepare daily payroll reports, administer benefits and workers' compensation programs, and assist with new-hire orientation and termination documentation.
  5. Support coaching, counseling, and exit interview processes.
  6. Follow I9 guidelines and E-Verify.
  7. Help ensure adherence to company and brand standards.
  8. Assist in developing and executing projects by tracking tasks, deadlines, and follow-ups. Respond to employee and internal requests and manage critical deadlines.
  9. Attend required meetings and communicate effectively with supervisors, co-workers, and other departments.
  10. Support timely counseling of department members regarding performance and sensitivity.
  11. Process and input new employee information into the Human Resources Information System (HRIS) and the Hotel Effectiveness (H.E.). Ensure that all data modifications are performed promptly and accurately.
  12. Troubleshoot user issues in Kronos and Hotel Effectiveness (H.E.). Provide operational and system administration support for various HR processes utilizing Kronos and Hotel Effectiveness.
  13. Serve as the point of contact for general HR inquiries, such as employment verifications and internal requests.
  14. Answer frequently asked questions from employees regarding standard policies, benefits, and hiring processes.
  15. Maintain the integrity and confidentiality of executive, management, and personnel information.
  16. Assist in all aspects of company events and meetings, including arrangements.
  17. Other duties as assigned by the HR director.

Supervisory Responsibility

This position oversees hotel staff and supports department managers. Responsibilities include hiring, Occasional training, performance review revisions, and resolving issues with Data entry system.

Work Environment

This position is conducted within a professional office environment as well as in public and private areas of the hotel, including guest rooms. The incumbent routinely utilizes standard office equipment such as computers, telephones, photocopiers, filing cabinets, and fax machines. It should be noted that these workspaces may occasionally experience noise conducive to a dynamic work setting.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee is required to stand, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 25 pounds or less. The position requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.

Required Education and Experience

  1. High school diploma or GED equivalent.
  2. Customer service background.

Preferred Education and Experience

  1. College degree in hospitality, business administration or similar.
