The Clayfield is a new 102-room luxury boutique hotel opening in Niagara-on-the-Lake and part of the Unbound Collection by Hyatt. Operated by Urgo Hotels & Resorts Canada, The Clayfield will deliver a highly personalized, refined guest experience grounded in calm luxury, craftsmanship, and a strong sense of place.
The HR & Administrative Coordinator plays a key role in supporting the daily operation of the hotel. Reporting to the General Manager, this position leads the coordination of core Human Resources administration while also supporting the Financial Controller with a range of administrative and light accounting tasks.
This role is well suited to someone highly organized, detail-oriented, and discreet. This is someone who takes pride in keeping things running smoothly behind the scenes while contributing to a positive, well-supported, and engaging team environment.
What You’ll Do
· Support the recruitment process, including posting roles, coordinating interviews, and managing candidate communication.
· Coordinate onboarding for new hires, ensuring a smooth and welcoming experience.
· Maintain employee records, including files, vacation tracking, and attendance.
· Assist with payroll preparation and benefits administration.
· Help coordinate training and support compliance with required certifications and policies.
· Support employee engagement and recognition initiatives, helping to foster a positive, inclusive, and well-connected team environment.
· Support clear and consistent internal communication across the team.
· Keep administrative and HR systems organized and up to date.
· Assist the Financial Controller with basic accounting tasks such as invoice tracking and administrative reporting.
· Manage office supply inventory and support operational ordering as needed.
· Support pre-opening setup, including hiring coordination and administrative readiness.
· Maintain awareness of employment standards, health and safety requirements, and hotel procedures.
· Support additional administrative tasks as required, aligned with the scope of the role.
What You’ll Bring
· 1–3+ years of experience in an HR, administrative, or coordinator role, ideally within a hotel or hospitality environment.
· Strong organizational skills and ability to manage multiple priorities.
· High level of discretion and professionalism.
· Clear, confident communication skills.
· Strong attention to detail and follow-through.
· Comfort working in a fast-paced, evolving environment.
· Proficiency in Microsoft Office and general administrative systems.
· Basic familiarity with payroll or HR processes is an asset.
· A hands-on, team-first mindset with a willingness to step in as needed to support the operation.
