The Omni Charlottesville Hotel offers 208 beautifully appointed guestrooms and suites featuring panoramic views of the Blue Ridge Mountains, along with a full service restaurant and 12,000 square feet of meeting space. The Omni is located in the heart of downtown at the base of the downtown pedestrian mall. Our location offers a wide variety of local restaurants, pubs, entertainment venues, or even just to take a scenic walk and enjoy the culture of Charlottesville. There are numerous local historic sites that have played a unique role in American history which include: Monticello, the University of Virginia, Ash Lawn-Highland, Historic Court Square and Michie Tavern. Our Blue Ridge Parkway offers unmatched views and our very own downtown mall features daily entertainment at the four theaters which offer live music, movies and theatrical performances.

Job Description

As an Administrative Assistant – Sales and Catering, you will be a key support partner to our Sales and Catering teams, helping ensure that every client interaction and event runs smoothly from start to finish. This role is perfect for someone who thrives on organization, enjoys building relationships, and wants hands-on experience in hospitality sales and events.

Responsibilities

  • Be a warm and professional first point of contact by phone, email, and in person
  • Manage and distribute incoming inquiries and leads efficiently to sales managers
  • Prepare and organize sales files, contracts, BEOs (Banquet Event Orders), and event documentation
  • Coordinate and communication Sales and Catering updates with all departments
  • Support reporting, meeting preparations, room block management, and daily event logistics
  • Assist with administrative tasks that keep the Sales & Catering department running smoothly
  • Help maintain office systems, calendars, bulletin boards, and departmental resources
  • Grow your knowledge of hotel sales systems, guest relations, and event coordination

Qualifications

What Will Help You Succeed

  • Comfortable working independently and as part of a collaborative team
  • Strong communication skills with a professional, service-oriented approach
  • Proficient with Microsoft Office (Word, Excel, Outlook)
  • Organized, detail-focused, and able to manage multiple priorities
  • Familiar with hotel systems such as Salesforce and Opera (experience is a plus, not required)
  • Prior administrative or hospitality experience and/or an associate degree is preferred
