Position Summary

Reporting directly to the Accounting Manager and supporting the Chief Financial Officer, the Accounting Specialist is a core operational position within our accounting department. This hybrid role manages full-cycle Accounts Payable, vendor master data setup, merchandise purchase order and inventory reconciliations, merchant dispute resolution, and daily general ledger support.

Key Responsibilities

Accounts Payable, Vendor Operations & Merchandise Support

  • Own the full-cycle procure-to-pay workflow, processing operational and inventory vendor invoices.

  • Partner with the Merchandise department to reconcile Purchase Orders (POs) against vendor invoices and receiving logs within our inventory management system.

  • Support ongoing merchandise inventory management, assisting with unit cost calculations and physical stock audit reconciliations.

  • Manage vendor onboarding, including master record creation, bank detail verification, W-9/W-8 form collection, and annual 1099 compliance.

  • Allocate fleet operational costs precisely across individual vehicle VINs for track maintenance, transport logistics, high-wear components, and facility leases.

  • Prepare weekly payment disbursement for Accounting Manager review and CFO authorization to optimize working capital and capture early-payment discounts.

Revenue Assurance & Chargeback Management

  • Manage the end-to-end chargeback and dispute workflow across all merchant payment gateways.

  • Compile evidence packages—including signed digital waivers, email/phone records, and booking terms—to contest fraudulent customer payment disputes.

  • Reconcile dispute holds, merchant processing fees, and chargeback reversals against net daily revenue to preserve margin integrity.

Reconciliations & General Ledger Support

  • Review and enter daily bank transactions, tying out cash inflows from online pre-bookings and cash outflows from the AP payment cycle

  • Reconcile high-volume corporate credit card expense reports, ensuring receipts are matched to proper general ledger codes across active event tours.

  • Assist the Accounting Manager with month-end closing, including posting journal entries and monthly revenue reconciliations.

  • Manage reservations and payments from 3rd party vendors in the booking system.

  • Reconcile cash post-event

Qualifications & Requirements

  • Experience: 2-4 years of progressive accounting or bookkeeping experience handling full-cycle AP, inventory/PO reconciliations, vendor master data, and general ledger tie-outs.

  • Education: Associate’s degree in Accounting, Finance, or Business Administration.

  • Technical Skills: Proficiency in accounting software (e.g., QuickBooks Online, NetSuite, Sage), inventory management software, merchant portals, and advanced Excel (Pivot Tables, VLOOKUPs) and Google Workspace

  • Core Competencies: High attention to detail, basic understanding of GAAP and Accounting Principals,  inventory valuation and internal controls, and effective cross-functional communication.
