About the Role

The Human Resources Administrative Assistant plays a key role in ensuring an exceptional experience for employees, applicants, and visitors. This individual will support the daily operations of a dynamic and fast-paced HR office while providing outstanding administrative and customer service support.

Key Responsibilities

  • Serve as the first point of contact for all visitors, employees, and applicants, delivering a warm, professional, and brand-aligned experience.
  • Answer and route incoming calls, respond to general inquiries, and provide timely assistance to walk-in guests.
  • Maintain smooth daily administrative operations of the HR office, including managing correspondence, scheduling, and documentation.
  • Support the onboarding process by assisting with new hire welcome activities, forms management, and coordination of orientation logistics.
  • Organize, maintain, and update employee personnel files and confidential records in compliance with company standards.
  • Assist with various HR projects and initiatives as needed, demonstrating flexibility and a proactive approach to problem-solving.
  • Collaborate with HR team members to ensure efficient processes and provide support across all stages of the employment lifecycle.

Requirements

  • Strong organizational and time-management skills, with the ability to manage multiple priorities effectively.
  • Exceptional verbal and written communication skills.
  • Warm, engaging interpersonal style with a customer‑service mindset.
  • Ability to handle sensitive information with professionalism, discretion, and integrity.
  • Comfort working in a fast-paced environment with frequent interruptions.
  • Multi-system proficiency (i.e. Canva, Microsoft Word, Excel, Publisher, and PowerPoint)
  • A true desire to fulfill the needs of others in a fast-paced environment
  • Refined verbal and written communication skills in English
  • Recruitment skills preferred
  • Proficient in applicant tracking systems
  • Professional presentation skills
  • Verbal and written Spanish skills preferred
