Our company

The Residence Inn by Marriott Seattle/University District is looking for a Sales Coordinator to join our team. We are managed by Puget Sound Hospitality which owns and operates 5 hotels in the Puget sound area.

The details

Salary range: $25.68 - $25.68 per hour

Location: 4501 12th Ave NE Seattle, WA 98105.

Commute/Transportation: We are located just 1 block from the Link Light rail station and offer a discounted annual ORCA pass. If you prefer to drive, we offer free parking to all of our employees in our underground garage.

Benefits: Our benefits package is available to full time employees after they complete 60 days of employment. This package includes medical, dental, vision, life, and AD&D. We also have 6 paid holidays.

PTO is accrued at 0.0538 hours per hour starting on day 1 of employment.

We partner with Colonial life to offer supplemental insurance options such as accident, short term disability, and whole life during our annual enrollment.

We have a 401(K) retirement plan available to all employees who are 21+ and have been employed for 6 months.

We offer Marriott employee room rates as well as Marriott friends and family room rates that can be used based on availability at any Marriott location worldwide.

Work shifts: This position is primarily a daytime position.

The daily job duties

Provide support for the Sales team in administrative capacity by maintaining sales databases, composing and following up on proposals and agreements, preparing statistical reports, handling sensitive and confidential information, and performing clerical functions such as preparing correspondence, receiving visitors, following up with clients or meeting planners, arranging conference calls, scheduling meetings and appointments, and coordinates travel arrangements.

  • Answer phone calls and e-mails, ensuring proper follow-up is taken, answering questions directly, or taking detailed messages for the Sales Manager.
  • Daily review of property sales' activities to ensure timely responses and action.
  • Assist to build, maintain and service accounts. 
  • Assist in fostering business relationships through communication and ensuring that client needs are met.
  • Assist in maintaining all sales systems, such as sales records and reports, database systems, conference calendar, traces of history and potentials, logs of groups not previously accommodated, and mailing lists
  • Assist in ensuring all deadlines are met by the sales department including external deadlines such as agreement deadlines, submission deadlines, and internal deadlines such as cut-off dates
  • Compose and follow-up on client proposals and agreements to ensure proper paperwork is approved, signed and proper information is maintained in all database systems
  • Assist in handling all issues surrounding groups or preferred accounts, including billing, guest issues, follow up, etc.
  • Communicate and follow up with all departments on group needs, details and issues to other departments as necessary to ensure smooth operations, billing, and to help ensure an excellent guest experience
  • Prepare for and attend Sales meetings in conjunction with Sales Manager and GM 
  • Performs other duties as assigned.

The Requirements

  • High School diploma or equivalent. Minimum of one year experience as Administrative Assistant, Reservations Agent or in Sales role. Previous experience in hospitality preferred.
  • Ability to communicate clearly and effectively with customers, co-workers, and managers. Ability to read and interpret documents such as safety rules, operating and maintaining instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
