What you will be doing

In this dynamic new regional office, the Administrative Assistant plays a central role in keeping daily operations organized, efficient, and running seamlessly. They manage calendars, coordinate meetings, and ensure leadership and team members stay aligned and prepared. From arranging travel and preparing reports to handling correspondence and maintaining office systems, they are the behind-the-scenes force that keeps everything on track.

This role also serves as a key point of connection within the office. The Administrative Assistant greets guests, supports internal communication, and helps foster a welcoming, professional environment that reflects the company’s hospitality standards. They often assist with special projects, event coordination, and onboarding efforts, making them an essential contributor to both the team’s productivity and culture.

Who you will be working with

In this role, the Administrative Assistant will work closely with the Accounts Payable clerks to help keep financial processes accurate, organized, and on schedule. This includes coordinating invoices, tracking approvals, maintaining records, and ensuring clear communication between the office and vendors. Their partnership with Accounts Payable is essential to maintaining smooth day-to-day operations and financial consistency across the region.

The Administrative Assistant will also occasionally communicate with General Managers (GMs) at individual properties. These interactions may involve gathering information, confirming details related to invoices or expenses, and helping ensure alignment between property-level operations and the regional office. This requires professionalism, clarity, and the ability to build strong working relationships across multiple locations.

While the role is highly collaborative, the Administrative Assistant will report directly to the Regional Director of Operations. This provides clear direction and leadership, with responsibilities that support broader regional goals and initiatives. Balancing collaboration with Accounts Payable, communication with GMs, and direct support to the Regional Director makes this a dynamic role suited for someone who is organized, adaptable, and comfortable working across different levels of the organization.
