Salary Range: $130,000-$160,000, depending on experience and/or education

The Legal Operations Manager will liaison with outside attorneys, executive leadership, hotel operations, risk management, HR, finance, and insurance partners to ensure legal matters are administered effectively and escalated appropriately. This role does not provide legal advice; all legal opinions and representation are provided by retained outside counsel. The position is an in-office position and will report to the Vice President of Human Resources.

WHAT YOU'LL DO:

Legal Operations and Matter Management

  • Serve as the central intake and coordination point for all legal matters affecting hotels and corporate entities
  • Manage matter tracking, documentation, deadlines, reporting, and status updates
  • Maintain organized legal files, trackers, and dashboards for litigation, claims, contracts, and disputes
  • Prepare concise, executive-ready summaries and reporting for leadership

Contract Review and Commercial Support

  • Oversee, review and negotiate hotel and corporate service agreements within approved templates and playbooks
  • Identify and flag deviations from standard risk positions involving insurance, indemnification, limitation of liability, termination, and compliance
  • Route contracts for attorney review or executive approval when risk thresholds are exceeded
  • Manage execution, storage, and renewal tracking of contracts

Litigation and Claims Oversight

  • Coordinate General Liability, property, employment, and other insured claims managed by carriers and defense counsel
  • Oversee demand letters and litigation administration, including intake, document production, remediation coordination, and milestone tracking
  • Act as liaison among outside counsel, insurers, TPAs, operations, and leadership
  • Escalate material risk, unusual developments, or cost concerns to executive leadership

Outside Counsel and Vendor Management

  • Serve as the primary point of contact for outside attorneys and legal service providers
  • Manage engagement letters, scopes of work, reporting cadence, and performance expectations
  • Review and audit legal invoices for accuracy, compliance with billing guidelines, and value
  • Partner with Finance on legal spend tracking and forecasting

Risk Management, Policies, and Cross-Functional Support

  • Partner with Risk, HR, Operations, and Finance on incident response, investigations, disputes, and regulatory inquiries
  • Assist in developing and maintaining legal playbooks, templates, and standard workflows
  • Identify portfolio-wide risk trends and recommend process improvements

AI-Enabled Legal Operations and Technology Tools

The Legal Operations Manager will support and utilize approved technology and AI-enabled tools to improve efficiency and visibility, including:

  • Matter management systems for intake, tracking, and reporting (e.g., legal matter tracking platforms)
  • AI-assisted summarization tools for reviewing outside counsel updates and reports
  • Contract review and issue-spotting tools leveraging clause libraries and approved playbooks
  • Document management and e-discovery support tools, where applicable
  • Dashboards and reporting tools for executive status updates

All technology use must comply with confidentiality, data security, and company AI governance requirements.

Legal Billing Review

  • Verify that all billed tasks are substantive legal work and meet billing guidelines.
  • Flag, reclassify or remove non‑billable time in accordance with billing guidelines.
  • Coordinate corrections and resubmissions when invoices are rejected or questioned.
  • Request missing details and resolve discrepancies.

WHAT WE NEED:

  • 7–10+ years of progressive experience as a legal operations professional
  • Demonstrated experience managing litigation and claims administration, outside counsel, and insurers
  • Strong contract review experience using standard templates and escalation protocols
  • Exceptional organizational, documentation, and follow-through skills
  • Ability to spot risk issues, summarize complex information, and communicate clearly with executives
  • High discretion and professionalism when handling sensitive matters
  • Hospitality, real estate, or multi-site operations experience preferred
  • Experience working with insurance carriers or TPAs preferred
  • Comfort operating in a lean legal environment with high visibility and autonomy preferred
  • Paralegal Certificate from an ABA-approved or equivalent program preferred
