Job Description

Position: Purchasing / Storeroom Clerk

Reports to: Executive Chef, Accounting

JOB DESCRIPTION: Responsibilities include purchasing F&B and other items in computer software, receiving packages delivered/shipped to the property for resort operations and guests. Secures packages received and logs appropriately. Keeps storage areas clean and organized. Delivers requisitioned items to the various operating departments throughout the resort. Assist food & beverage and accounting departments as needed.

Essential Job Functions:
  • Maintain vendor and inventory files in database
  • Place orders based on resort operational needs consisting of food/beverage, supplies and equipment.
  • Obtain approved purchasing orders from team and ensure proper purchase procedures are being followed.
  • Establish and maintain professional relationship with supplier representatives to achieve sourcing, bidding, negotiation, selection, approval, purchasing and quality of resort supply needs.
  • Ensure items requested are not available in inventory, identify available items, and provide supervisors information of redundancy.
  • Assist in preparing purchase orders by providing information regarding low supplies.
  • Contact vendors and suppliers for price negotiation, availability information, reconcile invoices, resolve differences.
  • Provide decision makers of the resort with cost information and take purchasing approvals.
  • Verify receipt of orders delivered by suppliers and ensure correct quantity has been received.
  • Authorize payments for purchase by providing appropriate documentation to accounting.

Responsibilities include receiving packages delivered/shipped to the property for resort operations and guests. Secures packages received and logs appropriately. Keeps storage areas clean and organized. Delivers requisitioned items to the various operating departments throughout the resort.

REQUIRED SKILLS AND ABILITIES:

Prefer at least two or more years in a purchasing role with a good understanding of purchasing principles. Hotel and/or food & beverage, culinary or package handling experience preferred. Food handler certification required.

Must have the ability to communicate in English. Self-starting personality with an even disposition. Maintain a professional appearance and manner at all times. Can communicate well with guests. Must be willing to “pitch-in” and help co-workers with their job duties and be a team player. Must be able to withstand prolonged periods of standing and/or walking. Ability to lift at least 50-75 lbs. Ability to lift, push, pull 50-75 pounds or more on a regular basis. Position requires outdoor work as well as operating golf cart. Must be able to work a flexible schedule including early morning hours.

Strong computer skills, including Word, Excel, and Outlook. Birchstreet experience a plus.

Excellent verbal and written communication skills

Ability to multitask and prioritize with attention to detail

Very good math skills and analytical abilities

Carries professionalism into all aspects of responsibility and a team player.
