he Administrative Assistant will work under direction of the South West Regional Controller and Assistant Controller. The Administrative Assistant is responsible for assisting and supporting the South West Regional Controller and Regional Accounting Department staff. 

Responsibilities:

  •  Receive checks and prepare deposit logs for prepays, accounts receivable, and miscellaneous accounts for the Arizona properties: Grand Canyon Railway (GCR), Grand Canyon South Rim (XSR), The Grand Hotel (TGH), and Tusayan Trading Post (TTP) properties. Deposit all checks remotely to NBA or JPMorgan Chase on a daily basis. Distribute deposit logs to Accounts Receivable, Income Auditor, and South West Regional Controller on a daily basis. Update monthly and YTD deposit logs as needed.
  • Maintain spreadsheet of miscellaneous commission receipts. Contact vendor for non-payment, untimely payment, etc. Email spreadsheet to South West Regional Controller monthly.
  • Prepare and distribute weekly work schedules. Keep employee data sheet and accounting organizational chart up to date.
  • Post job announcements received from HR. Update and distribute company policy memos.
  • Provide monthly safety training to accounting employees. Maintain MSDS binder.
  • Maintain DMV fleet registration/licensing needs for all GCR, XSR, TGH, and TTP company vehicles. Distribute annual vehicle insurance cards to appropriate personnel for all company vehicles.
  • Prepare credit letters/applications to new prospective vendors as needed; submit credit applications to corporate legal for review and signature approval.
  • Maintain logs/keys/company gas cards for Flagstaff pooled vehicles and assign as needed.
  • Review and verify receipts attached to employee travel expenses and reimbursement requests and submit to South West Regional Controller for approval.
  • Process and mail requests for purchased gift certificates. Maintain and submit log to appropriate employees as needed.
  • Annually send written correspondence to GCR, XSR, and TGH liquor vendors that have our fixed deposits on hand and request confirmation of receipt.
  • Run and distribute monthly financial reports and annual budget reports. Filing of monthly journal entries into binders.
  • General clerical duties including filing, opening and distributing internal/external mail, phones, copying, faxing, creating file folder labels, directing guests/employees where needed, creating spreadsheets and forms, etc. Monitor and order office supplies.
  • Train in mailroom duties and act as back-up for mailroom position when needed.
  • Participate in the month end closing process as needed.
  • Complete timely balance sheet account reconciliations as assigned.
  • Participate in annual retail inventories as needed.
  • Coordinate monthly employee appreciation day (cake, notification, etc.), annual holiday luncheon, and other special office functions.
  • Maintain the accounting admin assistant desk policy and procedures manual as needed.
  • Keep the accounting office and employee break room areas clean and neat
  • Responsible for understanding and ensuring compliance with all Accounting policies & procedures.
  • Responsible for understanding and complying with all Xanterra and Grand Canyon Railway hospitality standards, procedures and policies.
  • Perform other duties as needed.

Job Requirements

  •  Must have previous computer experience with a working knowledge of Excel spreadsheets and Word.
  • Must have a good working knowledge of windows based software programs to be able to communicate effectively via email (Outlook) and for tracking and reconciling applicable reports (Excel).
  • Must have good organizational skills with the ability to maintain flexibility in carrying out daily job duties, organizing and managing multiple priorities and tasks while interacting with a diversified staff.
  • Must be able to effectively handle stressful situations in a public setting and resolve job related problems in a professional manner.
  • Must be able to establish and maintain an effective professional working relationship with co-workers, Accounting Manager, Assistant Controller, Regional Controller, and other departments; working together in a positive work environment.
  • Must possess good interpersonal skills with the ability to read, write, and speak English; communicate professionally, effectively and clearly face-to-face, and in written communication with all levels of the organization, leadership and with the Assistant Controller and Regional Controller.
  • Must be able to operate a motor vehicle and have a valid Arizona driver’s license.
  • Must have the ability to lift mailbags and boxes up to 30 pounds.
