Position Description

The Senior Sales Manager – Association IT & Group, reports to the Regional Director of Sales & Marketing, with a dotted line to the hotel's General Manager. Duties are to be performed in a collaborative, courteous, professional and enthusiastic manner within a positive team environment.

Scope

The Sales Manager is responsible for generating top line revenue and contributing to a positive, enthusiastic environment. This is not an administrative or operational responsibility. Major areas of responsibility include: Association IT and Association Group.

  • Generating quality room nights/ business from all of the assigned segments to meet hotel's budgetary guidelines.

  • Conducting qualified appointment sales calls on major local and national association accounts.

  • Following up on all sales leads in a timely manner, within Hilton 4-hour time-frame.

  • Assisting in the development of the marketing plan, budgets and development of Monthly Sales Action plans to support the company's annual budgets, ADR and occupancy targets.

  • On time completion of daily, weekly, and monthly sales plan and follow up reports.

  • Presenting and fostering a professional and friendly atmosphere at the hotel, and with clients where excellence is expected, valued and recognized.

  • Adhere to all company policies and procedures and especially those associated with contracts as these are not to be altered without the approval of our legal council

  • Collaborate with colleagues over leads that may come in over the same period, so as to maximize the revenue for the department.

  • Major Responsibilities Strategic Planning

  • Adhere to the Marketing Plan, budgets, Monthly/Quarterly/Yearly Action Plans and Key Account Action Plans. Update accordingly. Once such plans are approved, accepts responsibility for assigned aspects of the plans.

  • Provide clients with quarterly room night production and level of future room night business.

  • Participates in weekly and other sales or management meetings.

  • Review weekly Arrivals report, and advise relative team members/departments of VIPs, special accounts, etc.

  • Other sales duties as assignedby RegionalDOS

  • Direct Selling

  • Qualifies leads and prospects gained from the hotel's arrival reports, cold calls, prospecting, referrals, sales blitzes (including all Bayview hotels), sales generated Brand Sales Leads, other management companies, tradeshows (e.g. CSAE Tete a Tete), sales managers and other sources.

  • Qualifies business from in-house sources by meeting with guests in person or by telephone.

  • Documents all sales activities in Delphi daily.

  • Use of Constant Contact, Bayview, and Knowland to source new business.

  • Account Management/ Administration

  • Establishes and maintains close contact with assigned accounts and target accounts through phone calls, site tours, appointments, correspondence, emails and in-hotel entertainment. Assess the current and future needs of prospect accounts to uncover other decision makers or reservation makers or influencers. Keep local contacts informed of Hilton initiated promotions (e.g. Company of the Month, HHonors Points promotions, etc.). Additional hours/weekends may be required.

  • Planning and participating in targeted social events for top accounts.

  • Communicates to and coordinates with the other hotel departments and hotel personnel all sales information necessary for professional execution of commitments.

  • Maintains accurate sales files, production reports and trace system for all assigned accounts.

  • Completes correspondence, expense reports and all other assigned paper work in an accurate and timely manner.

  • Participate in all Brand webinars and mandatory Sales training initiatives

  • Foster team work and exceptional customer service among all departments especially those departments influencing the sales culture.

  • Assist inside sales team with team or city-wide bookings, as they pertain to the Association Market Sector.

  • Additional hours/weekends may be required

     

  • Customer Service/Guest Relations

  • Solicits guest feedback and alerts Regional Director of Sales and General Manager to all opportunities for hotel improvement.

  • Accepts responsibility to enact the customer satisfaction pledge of the brand.

  • Assists the Regional Director of Sales and/or General Manager in resolving service concerns.

     

  • Community Relations

  • Maintains active involvement in assigned community and assigned industry organizations for the hotel's community initiatives (e.g. Cookie Care Day)

  • Participates in community activities, employee functions and guest events.

     

  • Life Safety/ Loss Prevention

  • Understands and observes the hotel's key control procedures.

  • Ensures all sales files are secured at close of each business day.

  • Conducts direct selling activities in accordance with assigned sales activity, room night and ADR goals for new and current Association and assigned market segment accounts.

  • Cultivates lead sources and distribute leads for other Company owned hotels, where applicable.

  • Co-sponsoring special events to obtain new business/additional room nights (e.g. CSAE, 3rd party planners, etc.)

  • Participate in monthly client event, as required.

     

  • Good command of the English language is essential, both written and verbal

  • Must be neat, professional, personable and well groomed

  • Previous Sales Management experience is a must.

  • Keyboarding skills would be an asset (60 - 70 words per minute)

  • Previous experience with the Hilton brand property management system would be an asset

  • Must be organized and possess strong time management skills

  • Must be attentive to details

  • Must be guest service focused

  • College diploma or University degree from a Hospitality related program would be an asset

  • Knowledge of French language is an asset.
