Rooms Controller

Position Summary

Preblocks rooms for all VIP’s, Loews First arrivals, Guest History arrivals, and for all guests having special requests.  Notifies Housekeeping of special requests, late checkouts, room changes, and day-use rooms.  Assists Guest Service Agents with all room changes, ensuring accurate statusing of all rooms.  Attends to daily due-outs, clearing system prior to end of shift.  Prints and assembles park tickets for guests arriving with package reservations.  Prints department reports.  Answers phone in back Guest Services office.  Assists at Front Desk by checking guests in and out during peak arrival and departure periods.

  • Preblocks rooms for all arriving VIP’s, Loews First guests, Guest History guests, and all other guests having special requests
  • Completely familiar with Loews First and airline travel partner programs and can accurately communicate the benefits of these programs to guests
  • Continuously and proactively oversees the hotel’s Ready Room Program, paging guests when rooms are ready
  • Assists GSA’s with all room changes, thoroughly documenting all changes and communicating pertinent information to all appropriate departments
  • Prints and assembles park tickets for guests arriving with package reservations.
  • Works with Housekeeping on a continuous basis to maintain accurate status of all guestrooms
  • Prints Guest Services reports according to required frequency schedule
  • Answers telephone calls to back Guest Services office in a professional manner consistent with Loews Hotels Star Service Standards
  • Assists callers with hotel and resort information and provides answers to folio questions
  • Handles guest inquiries professionally with utmost courtesy and accuracy
  • Notifies Housekeeping of special requests, late checkouts, room changes, and day-use rooms.
  • Assists at Front Desk by checking guests in and out during peak arrival and departure periods
  • Coordinates the daily selection and upkeep of rooms used for hotel tours
  • Completes special projects as requested by Guest Services Director or Manager

  • Maintains proper computer status of all out of order rooms

  • Provides check cashing and foreign currency conversion for hotel guests in accordance with established hotel guidelines

  • Performs checkout and cash handling activities in accordance with hotel cashiering and credit policies

  • Familiar with wholesale reservations, voucher acceptance policies, and hotel package procedures

  • Posts charges received by Guest Services department from other hotel outlets

  • Reads and initials all entries in Guest Services Logbook and all information on Guest Services bulletin board

  • Reads Group Profiles and Banquet Event information on a daily basis

  • Enters guest comments daily on Guest Comment Clipboard for communication to Hotel Executive Committee

  • Maintains the cleanliness of back Guest Services office, contacting Housekeeping for any major cleaning tasks

  • Issues, provides access to, and closes out guest safe deposit boxes as requested

  • Other duties as assigned

  • Complies with hotel uniform and grooming standards

Required Skills and Experience
  1. Minimum one year previous Rooms Control experience

  2. Excellent guest service skills

  3. Excellent oral communication abilities

  4. Strong analytical skills

  5. Able to work a flexible schedule, including weekends and holidays
