Ensure that all weekly time schedule forms are properly completed by all employees and are approved by their Head of Department
Verify the regular hours, overtime, vacation leave, sick leave and other important information
Handle all new hires
Handles all wage increases
Ensure that all deductions (i.e. taxes, season tickets, loan of employees, voluntary pension contributions, and others) are deducted from employees
Process unemployment claims
Ensure that all “status change” notices are duly authorized/approved
Ensure that all benefit time leave is supported by the appropriate benefit leave form
Provide the outside Payroll Service with all the necessary information regarding the calculation of payroll
Reconcile monthly payroll costs and to prepare the journal entries for posting to the General Ledger
Prepare the monthly declarations of employees/employer payroll tax liabilities and submit for timely payment
Organize the remittance of union dues if appropriate and all union reports
Organize the remittance of voluntary pension contributions to the Insurance Company
Maintain an up-to-date well-organized file in support of all payroll input, tax, and other withholdings
Monitor yearly distribution of W-2’s
Prepare, at year end, all legal reports and declarations to the various Government Institutions and submit on time
Prepare, regularly, in cooperation with the Human Resources department, a comparison between actual benefits outstanding’ versus ‘provisions’ in the General Ledger (for example: vacation leaves)
Ensure that all departing employees are accurately paid in accordance with statutory requirements and as per contractual agreements
Perform any other payroll related functions directed by the Controller.
Be available to assist the accounting team and provide any/all requested payroll-related information.
Have at least 2 years of payroll processing experience in a NYC Union hotel
Proficient with Microsoft Excel
Basic understanding of accounting
Must be proficient in Microsoft Windows, Excel, Office
Read, write, and oral proficiency in the English language is a must.
Strong ability to multitask in a fast-paced environment with high call volume, while maintaining attention to details.
