Position Description:

The Group Rooms Coordinator (GRC) is a vital part of the Revenue Team within Atrium Hospitality. The position requires a detail oriented individual who effectively collaborates with other members of the Operations, Accounting, Sales and Revenue Management teams. The position will have multiple responsibilities in administrating the operational and system processes for coordinating group arrivals and departures. This includes verification of reservations, online bookings and rooming lists. The GRC will provide ongoing communication between the client, the hotel, and the sales office insuring all operational standards are met including brand standards, system requirements, Atrium Hospitality audit standards, and overall guest satisfaction. This position will work closely with the Director of Sales, Director of Revenue Management and Inventory Manager ensuring group sales system and revenue management system data is in synch and mirror the directives of the team. In conjunction with Atrium’s visions, standards and initiatives, the GRC will be responsible for efficiently implementing group detail changes and on property reservation requests based on direction provided by the Director of Sales and/or Director Revenue Management. The GRC will also collaborate (provide documentation and tracking) with Accounting regarding Attrition and Cancellation fees owed, and collaborate with the Front Office team regarding guest loyalty program updates, incremental room revenue upgrade programs and submissions of proper reward credit for meeting planners. Principle Responsibilities: • Primary resource for the operational and administrative functions for group block management including creating blocks, managing group inventory, entering rooming lists, billing, and pre-arrival and post departure tasks as required. • Act as a resource both to the hotel and the client for information. Verify information and disseminate as appropriate. • Run Group Pickup Report each Monday and distribute to Director of Sales, Director Revenue Management, Director Group Strategy and Inventory Manager. • Maintain a working knowledge as it applies to the hotel in general of the sales, front office, revenue management and accounting areas. • Lead the weekly Group Scrub Review Meeting/Conference Call. • Possess a working knowledge of the Brand’s guest loyalty program and how it applies to group customers in order to insure proper credit for reward programs to meeting planners. • Attend Weekly Revenue Strategy Meeting & Daily Business Review Meeting to be aware of business trends, new bookings and changes to current bookings. • While the AH standard is to send all incoming reservations to the Brand Virtual Call Center, if available, the GRC will be required to input on-site reservation requests from Sales, Revenue Management and Operation teams. • Create a weekly room revenue forecast used by departments to forecast labor. • Track attrition and communicate with Sales Managers regarding pickup and potential attrition, as well as collaborate and follow-up with accounting that attrition is billed/collected. • Participate in monthly forecast process as outlined in the Atrium SOP. • Attend group pre-cons as directed by DOSM. • Attend brand or company training programs as directed (may involve overnight travel). • Maintain accurate files and systems for information retrieval as it relates to group bookings. • Audit/Balance systems (Sales System, PMS, and Revenue Management Systems). Experience / Skills Required: • Bachelor’s degree in Finance, Economics, Statistics or related discipline preferred, or 2+ years of commensurate experience in a related business field, or, 2+ years of hotel experience in sales, front office or accounting • Working knowledge of brand revenue management systems preferred • Strong working knowledge of Microsoft Excel • Effective communication and collaboration skills • Travel Requirements: 5% Desired Competencies • Technical Expertise • Multi-Tasking • Basic Understanding of Hotel Pricing Levels and Room Types • Business Acumen • Effective Collaboration • Effective Communication • Attention to Detail • Tact and Good Judgment • Proven Experience Interacting with Customers
