We are currently seeking individuals interested in becoming our Front Office Manager. This position is responsible for overseeing all Front Office operations including Front Office Agents, Bell, Concierge, PBX, Reservations and Night Audit team members. Ensures total guest satisfaction. Keeps communications open between the team and all other departments to avoid any misunderstanding of the hotel’s goals, guest relationships, and the type of service that is required. Promotes the morale of department.
Essentials Functions Include: Check and control the Front Office systems, supplies, inventory, and scheduling, forecasting, and departmental budget to maximize revenues. Compile and prepare financial reports. Edit daily payroll input, run reports and ensure bi-weekly payroll is completed efficiently and accurately. Create weekly labor reports and all other reports as specified by management. Assist team members during peak activity periods. Handle cash, make change and balance an assigned house bank. Accept and record vouchers, traveler’s checks, and other forms of payment. Count cash and other methods of payment at the end of the shift to verify and balance the house bank. Ensure that daily preparations are completed for arriving and departing guests. Complete a thorough verification of room and tax charges to be posted nightly. Handle all room discrepancies with Housekeeping. Assist in effective charging “no show” reservations. Ensure continuous courteous service and immediate response to guest requests to department team members within Hilton Marco Beach and Olshan Properties standards. Maintain and develop a work schedule for supervised staff, to include Guest Services Agents, PBX Operators, Bellmen, Concierge and reservations team members. Maintain and control payroll expenses within Hilton Marco Island Beach budget guidelines. Monitor lobby traffic and make staffing adjustments accordingly. Resolve team member and guest complications. Field guest complaints, conducting a thorough research to develop the most effective solutions and negotiate results. Train team members with the ability to handle guest concern’s immediately and confidently. Encourage and promote an active team member empowerment atmosphere. Politely and professionally communicate with guests and team members, both verbally and in writing. Answer questions and provide clear direction to internal and external guests. Advise and instruct staff of all work details. Attend hotel meetings to obtain and adequately communicate pertinent information to staff. Implement and monitor all corporate marketing programs to include HHonors, Senior HHonors, Rooms Packages, etc. Organize and conduct pre-shift and departmental meetings to communicate pertinent information. Conduct on-going training sessions to all areas of the department.
