Job Summary

Provides administrative support to the Director of Sales and Marketing and Sales team, by assisting them with general administrative duties, correspondence, database, account profile and file maintenance, report generation, sales appointment scheduling and providing support in Opera and Delphi systems. Responds to clients as needed and coordinates reservations and guest relations needs for Sales clients. Handles small groups inquiries from proposal to contracting.  

Job Description/Duties

  • Support DOSM and Sales team
  • Attend daily sales briefings to discuss activities
  • Coordination of key account client events
  • Coordination of requests for site inspections
  • Respond and answer key account customer questions
  • Develop and maintain relationships with our clients
  • Assist the Sales team with proposals, contracts, presentations and sales calls
  • Collate, prepare and submit monthly reports to DOSM for final review
  • Handle and coordinate all follow up correspondence and respond to all incoming inquiries
  • Assist with managing the day to day operations in the Sales office
  • Assist in organizing sales events, road shows, and company functions
  • Attend client events when requested
  • Assist in the completion of reports, spreadsheets, and the creation of PowerPoint presentations
  • Handle telephone inquiries and/or direct them to the appropriate person
  • Coordinate travel and sales itineraries
  • Conduct site inspections for key accounts when necessary
  • Qualify group sales leads and manage sales process for small groups
  • Weekly sales meeting minutes
  • Maintenance of sales related collateral-brochures, giveaways, holiday gifts and blitzes 
  • Special projects
  • A minimum of two years of experience in a Sales Office capacity
  • Bachelor’s degree, a concentration in hospitality a plus
  • Must be computer saavy, experience with Microsoft suite
  • Good time management and problem solving skills
  • Excellent verbal and written communications skills
