ORGANIZATIONAL STRUCTURE:

The Executive Assistant Manager reports to the General Manager and is an integral part of the Executive Committee in a large full-service, luxury, hotel with an extensive range of facilities and services, demanding competitive pressures, and providing impeccable service to a large number of VIP and key guests. The Executive Assistant Manager directly and indirectly leads a large number of Front Office, Housekeeping, Culinary, Restaurant and Banquet colleagues including Department Heads and Assistant Department Heads ensuring optimum performance, superior guest service, and maximum profitability.



POSITION OVERVIEW:

The Executive Assistant Manager will assist in providing day-to-day leadership and direction by maximizing financial returns, driving development of people, creating and maintaining a consistent quality service, and operating standards as established by the InterContinental Brand and Forbes Travel Guide. He/She will also act as the General Manager in his/her absence.



DUTIES AND RESPONSIBILITIES:
* Develop and communicate hotel and departmental strategies and goals. Communicate and enforce policies and procedures.
* In collaboration with Human Resources and other members of the Executive Leadership team, lead departmental Employee & Labor Relations: hiring, performance appraisals, coach and counseling, training, disciplinary actions. Resulting in developing, maintaining and improving employee relationships via effective communication, performance management, processing grievances and/or disputes as well as fairly and consistently applying policies and standard operating procedures.
* Engage in positive Employee Relations to increase morale, productivity, guests and colleague satisfaction.
* Establish and implement procedures to ensure guests receive prompt, professional attention and personal recognition throughout all areas of the hotel.
* Uphold Service and Facility Standards in accordance with the InterContinental Brand and Forbes Travel Guide to ensure hotel maintains consistency of Four Star service levels.
* Ensure all colleagues are properly trained and have the tools and equipment needed to effectively carry out their job functions.
* Assist General Manager in the development, implementation and monitoring of financial and operational plans for the hotel to ensure optimum guest satisfaction, sales potential and profitability.
* Make recommendations for capital improvements to enhance the assets of the hotel and/or company and brand loyalty.
* Assist in managing and maximizing hotel revenue generation through full utilization of company systems, business processes and specifications.
* Achieve budgeted revenues, control labor costs and expenses, and maximize profitability within all areas of responsibility. Participate in the preparation of the annual departmental operating budget and financial plans which support the overall objectives of the hotel.
* Ensure that guest satisfaction data is analyzed; plans are developed and implemented to achieve established goals in accordance with our annual Winning Metrics as applicable.
* Prepare and submit statistical, performance, and forecast analyses and reports as required.
* Participate and contribute in pre- and post-conferences meetings.
* Interact with outside contacts:

* Guests – to ensure their total satisfaction
* Vendors – to ensure adequate inventory of supplies and equipment, to discuss pricing or service issues, to resolve any vendor performance issues, etc.
* Regulatory agencies – regarding safety and compliance matters
* Other contacts as needed (Professional organizations, community groups, local media)

Ensure a safe and secure environment for guests, team members and hotel assets in compliance with InterContinental policies and procedures and regulatory requirements. Maintain relations with outside contacts.

Act as public relations representative to raise awareness of hotel and brand in local community. Drive team member involvement in community organizations, activities and businesses.

Develop and carry out action plans to be environmentally conscious by taking steps to reduce the hotel’s carbon footprint.

May serve as “Manager on Duty” as required.

Perform any other duties and responsibilities as assigned by the General Manager.

Job Requirements

QUALIFICATIONS & REQUIREMENTS:
* Seven or more years of experience in leadership role within a large full- service luxury hotel or resort operation.
* Three years as a Department Head and Executive Team Member.
* Prior experience in a unionized hotel setting is preferred.
* Able to communicate written and spoken English.
* Possess strong leadership competencies – Be Brandhearted, Think Ahead, Champion Change, Lead People, Develop People, Drive Results and Work Collaboratively.
* Able to multitask, be detail oriented, and communicate effectively.
* Communication skills are utilized a significant amount of time when interacting with others; demonstrated ability to interact with customers, colleagues and third parties that reflects highly on the hotel, the brand and the Company.
* Reading and writing abilities are utilized often when completing paperwork and management reports, interpreting results, giving and receiving instructions, and training.
* Mathematical skills, including basic math, budgeting, profit/loss concepts, percentages, and variances are utilized frequently.
* Problem solving, reasoning, motivating, organizational and training abilities are used often.
* Must be able to work a flexible schedule that will accommodate the achievement of all business goals and directives. May be required to work on work nights, weekends, and/or holidays
* Ability to perform the following: carrying or lifting items up to 50 pounds, moving about the work areas, handling objects, bending, stooping, pushing and kneeling
* Computer proficiency is required. Must possess knowledge and experience with Microsoft Office systems. TimeSaver, Opera, HotSOS, GoConcierge, Micros, Percipia, Adaco and Workday experience is an asset.
