Job Description
Wyndham Hotel Group is searching for an Event Concierge to work at our beautiful Dolce Hayes Mansion property in San Jose, California. This position is responsible being the primary contact for the Meeting Planner during their meeting, event or conference. They will proactively anticipate the needs of the customer and work very closely to ensure a smooth and flawless experience. The Event Concierge (EC) will be familiar with all operational aspects of their hotel – from Guest Services to Culinary requirements and assist in delivering Signature Events. They are the Subject Manner Expert in delivering the Dolce Meeting Experience.

Responsibilities will include but not be limited to:
• Maintains regular contact & establishes rapport with the meeting planner once introduced by the Dolce Conference Planner (pre the event and during event).
• Liaison between Meeting planner when on site and all operational areas including kitchen, housekeeping, guest services, restaurants, etc. to communicate all client specification needs to the appropriate operational department – must maintain phone / text contact – ear piece technology is preferred.
• Inspects VIP guest rooms prior to arrival, ensures any special room requests are fulfilled, and checks Banquet Event Orders for accuracy and clarity.
• Prior to commencement of events, inspects assigned functions to verify they adhere to all client specifications – timeliness of setup, signage, accuracy of set up, room temperature, water, pens, pads, audio visual requirements, F&B requirements. Anticipates needs of Meeting Planner based on knowledge of customer and prior events.
• Assists in delivering on Signature events through coordination of any necessary logistics.
• Coordinate and interact with outside vendors regarding event logistics as needed – i.e. transportation, catering, etc.
• Attend all required meetings including pre-con and post-con meetings with Conference Planner.
• Maintain confidentiality and security of specified guest(s) and hotel information.
• Keep abreast of market trends, competitor’s activities, and meeting planner / guest feedback.
• Up-sells products and services throughout the event process.
• Projects a professional personal image and a favorable image of Dolce Hotels & Resorts.
• Maintains a favorable working relationship with all company associates to foster and promote a positive working environment.
• Demonstrates working knowledge of all services and facilities of the hotel, as well as local area to effectively assist meeting planner.
• Resolve complaints, ensuring guest satisfaction.
• Provide memorable, personalized service.
• Adheres to all standards, policies and procedures.
