Position Purpose

This position is responsible for the successful planning, execution and follows up on all group bookings while maintaining the reputation and image of Loews Regency according to Star Service, Loews Hotels and Loews Regency Standards.  Manager will be responsible for over-seeing all corporate, social and entertainment groups, that consists of rooms with or without food and beverage.

Required Skills and Experience

Essential Functions and Responsibilities

Pre-planning and on-site management of groups, ranging from rooms only bookings to meetings with food & beverage.

Attend weekly BEO (or when appropriate) staff meeting to review upcoming week and activity related to groups/meetings

Attend the daily BEO meeting with Food & Beverage Operations.

Responsible for the weekly distribution of BEO’s and daily distribution of revised information.

Maintain the integrity of assigned groups’ BEO’s by monitoring changes in the BEO master list.

Schedule and coordinate pre-convention meetings (following agenda provided by DOSM) with Hotel operations staff and client when necessary.

Through leadership and setting example, ensure service philosophy is consistently re-enforced.

Responsible for being fully conversant with DMPE and for keeping up to date on the latest updates of the groups through detailed notes in the booking recap.

Assist Accounting department in the accurate presentation of a group’s final bill, through bill review process on a daily basis as well as review of all group bills.

Ability to acknowledge, solve problems and coordinate in a professional manner, keeping the interests of both the guest and the Hotel In balance.

Responsible for reviewing rooming list, ensuring that block and pick up is in line with the actual contracted numbers. Once reviewed for accuracy/pick up, it is the responsibility of the Conference Service Manager to turn over rooming list to the Reservations Manager for input. If there are any discrepancies with the number of rooms picked up (+/-) the DOSM and DOS is to be contacted immediately.

Promote good, open lines of communication and promote positive employee relationships among the sales/catering department.

Increase hotel revenues by up selling food & beverage functions as well as up selling the hotel’s auxiliary services i.e. decorations, room rental, flowers etc.

Generate group resume to Hotel’s operating departments for all groups.

Responsible for demonstrating aggressive hospitality, such as anticipating guest needs.

Complete a Post-Convention Report after each and every meeting and distribute to department heads at morning meeting.

Responsible for reporting and following up on guest and employee incidents to Security.

Responsible for monitoring groups’ contractual requirements and advising and assessing client’s charges if contracted numbers are not met or if group exceeds or cancels all or part of their room block/event

Develop and nurture client relationships in an effort to generate repeat business (Post Con Reports).    

Responsible for running an in-house resume’ meeting when needed.

Responsible for the planning and overall execution of junkets and press days for all major picture studios. 

Minimum requirement of two trips to the West Coast, to do joint sales calls with the Director of Entertainment and West Coast Sales.

Meet with the DORM and DOS to review the Weekly Pick-Up Report and share concerns with upcoming groups.

Upon arrival, greet the meeting/event planner.

Qualification Standards

Education:  Bachelor Degree in Business Administration, Hospitality Management or related field

Experience:  Minimum five years progressive hotel management experience
