Position Description:

SUMMARY

The most important responsibility is to provide quality, value-added professional service that meets or exceeds our guests expectations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include but not limited to are the following; other duties may be assigned.

Your most important responsibility is to provide quality, value-added professional service that meets or exceeds our guests value expectations.

Plan, up sell and detail the program with the client including; verification and modification of space requirements, times, equipment, menus, themes/decorations, etc. Prepare the appropriate resumes and paperwork to ensure quality service.

Manage function details and related activities to ensure that program requirements are satisfied. Anticipate and handle customer complaints and/or problems to ensure quality product delivery, customer satisfaction and repeat business.

Improve hotel convention services' products through; (a) the development of new sales tools, menus, themes, and decorations, (b) the analysis of the strengths and weakness of our competitions product, and (c) analysis, understanding, and satisfaction of our customers needs (d) site inspections

Monitor and control individual event budgets and details to maximize revenues and minimize expenses while ensuring delivery of a quality product.

Produces BEO’s, convention resumes, group resumes and ensures proper distribution to all appropriate departments for groups that have been booked through the Sales department.

Maintains detailed files, records and trace systems. This includes recording all correspondence and notes in CI/TY.

Ensures effective communication within 24 hours of turnover to definite to client to establish introduction and access further needs.

Verifies all space requirements and meeting room set ups with clients. Uses Delphi Diagrams to produce professional and accurate meeting room diagrams.

Ensures that public space needed by conventions is properly maintained and in good condition.

Maintains knowledge of reservation procedures and sales filing systems.

Organizes all details of the BEO’s and Group/Convention Resumes. Ensures all special arrangements, transportation, food and beverage needs and requisitions.

Determines revisions in agendas, reconfirms space blocked with Delphi and releases any space no longer required.

Communicates with clients to finalize events, including starting and ending

times, guarantees, A/V, and food and beverage requirements.

Checks on any VIP rooms and amenities on day of arrival.

Checks all scheduled functions at least (1) one hour prior to starting time, introduces themselves to on-site, and then maintains an on-going communication and continual checking of event throughout the event dates to ensure all clients needs and expectations are met.

Keeps all departments informed of any changes in the client’s requirements.

Maintains warm, hospitable guest relations in all guest contacts.

Maintains positive employee relations in a supportive environment.

Works closely with the Banquet Manager and Banquet department in ensuring

And understanding of client needs.

Increases guest satisfaction scores and lowers guest complaints by ensuring prompt courteous and proper services.

Communicates effectively within and between departments.

Attends and/or conducts regular communication meetings (business review, staff, BEO, Group Resume).

Works directly with client and Group Rooms Coordinator to ensure rooming list, methods of payment, and room block request are effectively communicated and executed.

Upsell from original food and beverage booking as to ensure achievement of upsell goals

Must complete site inspections

On going interaction with clients

Must be able to multi task with multiple events at one (1) time

ADDITIONAL RESPONSIBILITIES

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE

1-2 years previous hotel sales or client servicing experience and working knowledge of Word, Excel and the Internet required; 2-3 years previous sales or convention services management experience in a hospitality environment, working knowledge of Delphi and Meeting Matrix (or similar system) and college degree preferred.

LANGUAGE SKILLS

Must have excellent communication skills to be able to communicate clearly with guests, customers, management and employees. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Must have the ability to write routine reports and correspondence. The ability to speak effectively before groups of customers or employees of the organization is required.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, percentages, package breakdowns, and the ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Must be knowledgeable in all aspects of the catering business, including service, room styles, services offered, menu design, set up and tear down. Must have the ability to solve practical problems and deal with a variety of concrete and abstract variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

HOURS:

Due to the seasonal nature of the hospitality industry, and the fact that the hotel provides guest services 7 days a week 24 hours a day, any employee may be required to work rotating shifts, nights, and weekends, and overtime if needed. Also depending on the season, hours may be reduced at any time.
