Job Description:

The candidate will handle correspondence and arrange appointments for the Catering, Convention Services and Sales Managers. The candidate will be tasked with completing Banquet Event Orders and monitoring the meeting room availability of the hotel. This individual will work closely with the Catering and Convention Services managers, handling all duties they may require.

Responsibilities:

* Approach all encounters with guests and employees in a friendly, service oriented manner.
* Answer telephones, direct calls, take and relay messages in a timely manner.
* Coordinate groups that have 10-50 room nights peak night.
* Detail groups by determining menus, set up requirements, audio visual, transportation requirements.
* Completing Resumes and Banquet Event Orders for coordinated groups.
* Monitor Room Blocks for assigned groups, distribute rooming list and any changes to Reservations and comply with cut-off dates.
* Communicate information to related departments to meet groups requirements.
* File documents and create files as needed.
* Type and mail all correspondence for assigned managers.
* Assist managers in servicing the customers/accounts.
* Type proposals, contracts, banquet event orders and resumes as needed.
* Assist managers in special projects - i.e., reports, menus, etc.
* Communicate on a daily basis with Banquet Captains on changes or last minute requests from the customer.

Qualifications:

* Bachelors degree highly preferred.
* Must be able to work flexible days as required.
* The candidate must be well-versed in computer systems, including but not limited to Microsoft Office.
* Must be organized, have a willingness to learn and possess a positive attitude.
* Must also have the ability to stand for extended periods of time and lift up to 30lbs.
* Previous experience in Catering or Convention Services is preferred.
