Assistant Director of Purchasing

This is a Shared Service position and supports both Fairmont Singapore & Swissôtel The Stamford. The Assistant Director of Purchasing is responsible for the daily operations of the Group Purchasing Office for the 4 FRHI Singapore hotels and will also assume the responsibilities of the Group Director of Purchasing during his/her absence.

Summary of Responsibilities:

Reporting to the Group Director of Purchasing, responsibilities and essential job functions include but are not limited to the following:

To conduct daily briefing/communication for the department, discuss issues related to Purchase Requests/Orders

To ensure full utilisation of the Materials Control system and adherence to Purchasing Policies & Procedures

*
To recommend improvements for the Purchasing Process; ensuring high productivity within the department

*
To assist in the evaluation of new suppliers and maintain good relationship with suppliers and hotel end users

*
To conduct Site Audits to Suppliers’ Factory together with Director of Food Safety as and when require for HACCP compliance.

*
To ensure full compliance to HALAL regulations for all our Halal purchases by monitoring that items purchase must be certified with HALAL certificates. This is an on-going process.

To generate and analyse reports on consumption/pricing and make recommendations

*
To ensure suppliers adhere to local and hotel regulations such as HACCP/NEA/ISO

*
To ensure training of new colleagues using the Job Task Checklist.

*
To conduct RFP for all Capital Equipment Purchases and preparation of price analysis for recommendations.

*
To review all annual contracts for both services as well as for perishable/F&B items.

*
To process Purchase Orders expeditiously meeting deadlines of departments (Daily Market List and General Supplies)

(Ensure that items purchased fulfill requirements eg according to end users’ specifcation; Halal certified (When necessary); contracted items are purchased from awarded supplier; usual suppliers are selected (unless otherwise stated)

To reconcile Purchase Orders and Invoices daily.

*
To review the 4 hotels' system data frequently as to ensure the data base are up to date.

To respond immediately to order/supply emergencies arising from Late Delivery, Late Order, Usual Supplier is out of stock, Stock Shortage in market

*
To respond immediately to queries from end users/suppliers with regards to Purchase History, Article Code, Status of Purchase Requests and Delivery

To respond swiftly to feedback/complaints (from end users/suppliers/customers/guests)

*
To source for suppliers upon Purchase Request (PRs) with quotations and samples

*
To understand the requirements and need of end users via calls/emails/physical meet ups

*
To follow up on email correspondences and status of PRs/POs

*
To highlight PR/PO updates to team and raise issues for discussion

*
To manage procurement of major/special projects

*
Carry out any other duties as and when assigned by the management of the hotel

Qualifications:

*
Degree, with minimum 6 years of experience in a similar / managerial capacity

*
Experience in a computerised Materials procurement system preferably in the hospitality industry

*
Strong analytical and excellent negotiation skills, organised, meticulous with excellent interpersonal and communication skills

*
Possess a positive attitude, mature, highly initiative, with strong leadership qualities and able to relate well with individuals at all levels and function effectively

*
Proficient in MS Office Applications

*
Fluent in written and spoken English/Mandarin

*
Able to commence work immediately or within short notice

Team Player and people-oriented

*
Able to work under pressure and independently
