Job Description

Great opportunity! Seeking an experienced and very polished Executive Assistant. Candidate will understand the importance of maintaining a high degree of discretion and confidentiality and be comfortable interfacing with VIP clientele. This person must also be able to work comfortably and in tandem with other administrative support staff. Flexibility to work extended hours are also needed.

Responsibilities

* Excellent verbal and written communication skills. Candidate will communicate directly with internal and external stakeholders on multiple projects
* Excellent organizational skills
* Assist with travel arrangements
* Assist with recurring meetings, including, but not limited to, room and A/V set up, agenda compilation, minute taking, etc.
* Strong interpersonal skills for communication and collaboration between departments
* Assist with expense report assembly routing and tracking
* Assist with assembly of PowerPoints and presentation materials
* Liaise with internal departments and subsidiaries
* Assembly and review of monthly board book materials
* Maintenance of trace files for follow up
* Ongoing communication with business unit leaders
* Handle internal and external donation requests
* Draft correspondence and other communications
* Schedule and coordinate conference calls
* Maintain contact lists
* Assist on extremely confidential documents
* Handle special projects as assigned

Qualifications

* Minimum experience: five years in Executive Assistant position
* Bachelor’s degree preferred
* A high degree of professionalism is required
* Excellent written and verbal communications skills
* Ability to maintain strict confidentiality
* Ability to manage multiple priorities
* Must be highly organized and have the ability to multi-task and shift priorities as needed
* Must be extremely proficient in Excel, Word, PowerPoint and Outlook
* Ability to work extended hours when needed
* Ability to work independently with minimal supervision
* Flexibility and capability to take on special assignments/projects as directed by supervisor
