Sales and Catering Manager is responsible for booking catering business while maximizing the banquet space to meet/exceed sales goals. As a Sales and Catering Manager, one negotiates and books new/repeat business. Requirements of the position include: knowledge of the practices and procedures of the catering, food & beverage and hospitality industry; effective communication skills, and the ability to negotiate, influence and sell. This position reports to the Director of Sales and Catering and requires an energetic and detail oriented candidate with a passion for food and beverage.

POSITION SUMMARY: ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
This position is responsible for:
•Selling small and mid-size social and corporate events.
•Participate in researching the competition’s products, services and pricing and use it to develop strategic business plans.
•Maximize revenue by selling all facets of the Club to previous, current and potential clients, including room rental and other revenue generation opportunities.
•Consistently book repeat business by having a track record of long term client relationships.
•Actively participate in community/civic activities to maintain awareness within community and to create booking opportunities.
•Comfortable with Club site inspections and client presentations.
•Experience utilizing creative skills to provide innovative set-ups, menus, and functions for groups. Ability to generate creative and innovative menus while working closely with Chef on pricing specialty menus. Work closely with banquet department on operations and event execution, ability to quickly evaluate alternatives and decide on a plan of action.
•Produce contracts and BEO’s, maintain detailed files, records and trace systems. Verify all space requirements and meeting room set-ups with the client and ensure that the space needed for the event is properly maintained and in pristine condition.
•Ensure all special arrangements, food and beverage needs and requests are set up and that all BEOs are signed by authorized representatives. Determine revisions in agendas, reconfirm space blocked and release any space no longer required.
•Entering data in Expert Reservation and Accounting system and ensure accuracy of information entered.
•Finalize program/agenda with the member/client and check all scheduled functions one hour prior to the starting time.
•Communicating last minute changes (additions, cancellations) in a timely fashion to all required parties.
•Making room reservations and managing the delivery of amenities as needed.
•Review function sheets and work with the appropriate departments to assure quality and satisfaction. Additional responsibilities will require you to maintain positive member/guest and employee relations and to increase member/guest satisfaction scores by ensuring prompt, courteous and proper service.
•Helps handle all special events and dining reservations in the most professional and cordial manner.
•Manage Sales and Catering Administrative function, to support a smooth running of the offices (phones, reservations, writing letters, emails, memos, record-keeping, assembling menus, processing purchase orders, etc…).
•Perform any other job related duties as assigned, with attention to detail and accuracy.

This position will require:
• Achieve and/or exceed budgeted sales and operate within budgeted guidelines by maintaining effective controls.
• Working 40-50 hours a week, and flexible shifts based on events scheduled at the Club
• Working as part of a team, as well as independently with limited or no supervision and the drive to take initiative.
• The ability to pay attention to details, anticipate and deliver member requests in a timely fashion.
• The ability to handle pressure and maintain composure and professionalism at all times.
• Exerting positive energy and friendly courteous demeanor in all interactions with members and staff.
• Wearing professional business attire at all times.
• Rotational weekend office coverage.
JOB QUALIFICATION STANDARDS
The following describes the general qualifications and physical, sensory and mental abilities normally associated with performing the essential functions of this position.
Education and Experience:
•Bachelor degree required, Hospitality degree is a plus.
•Minimum 2-3 years previous hospitality experience in Catering/Convention Services, Clubs, Banquet, Hotel Sales or Culinary Arts.
•Food and beverage experience is a must
•Experience in similar luxury establishment a plus.
•A valid Driver’s license, as this position may require driving to supply stores and our Beach Club location, which is 2.5 miles from our Main Club location
Knowledge and Skill Requirements/Specialized Courses and/or Training:
•Knowledge of sales techniques including closing skills as well as negotiating skills.
•Knowledge of market trends and competition
•Experience evaluating every catering business opportunity to maximize revenue and profitability while achieving customer expectations.
•Understanding of both monthly forecasting and the annual budget process, as well as pace reports and productivity.
•Understanding of yield management skills and the use of historical data.
•Ability to work with outside vendors to ensure client satisfaction for all events/groups.
•Strong proficiency in Microsoft Word, Excel, Outlook and Power Point.
•Expert Software, Meeting Matrix and IPad experience is a plus.
•Ability to read and interpret documents and to write routine reports and correspondence.
•Excellent organizational, communication and mathematical skills are required
•Strong verbal and written skills to manage all business communications using proper etiquette.
•Knowledge of Club structure and how all departments interact.
Language and Communication Skills:
•Excellent telephone skills and manners.
•Must be able to communicate & interact professionally with members & employees in English language verbally as well as in writing.

•Frequent Standing for extended periods of time.
•Frequent walking to collect or deliver goods in various indoor and outdoor locations of the Club.

•Excellent physical fitness.
