The Conference Planner is responsible to manage the daily operations of the Conference Planning department. To effectively plan trainings, meetings and events to ensure client satisfaction.

Essential Job Functions include but are not limited to:

ESSENTIAL JOB FUNCTIONS:

Coordinate the ongoing planning, organization and delivery of internal and external meetings from initial contact to final execution
Maintain effective work relationships through daily contact with GE interface, customers and businesses.
Coordinate registration process—enrollment, confirmation,
MyLearning tasks:
Ensure myLearning is updated and accurate for all courses
Create schedule offerings
Weekly enrollment reports
Record learning event and complete billing for all courses
Create reports
Monitor registration and waitlists
Provide weekly status report of class enrollments
Provide Monthly & Quarterly enrollment reports on all classes YTD
Respond to emails and phone queries regarding course registration
Communicate information to participants as needed
Communicate logistical course info to faculty/speakers
Create and send out pre-course logistics for each course
Create Team List, class rosters, posters etc.
Create distribution list
Add new suppliers to purchase order system for invoicing
Create Purchase orders for suppliers/vendors/instructors etc.
Create evaluations for courses
Set up GE Folders/GE Connect
Advise Program Manager timeline for producing course materials/course binders
Provide Production with binder material for printing
Provide Production with course materials for printing (posters, tags, tents, certificates & handouts)
Manage the inventory of class materials. Order as needed.
Research gifts, restaurants and theater tickets
Update course documents as necessary
Schedule class photos
Off-Site Classes
Monitor room blocks and deadlines
Set up logistics
Send all course materials to the off-site venue
Creates Banquet Event Order (Property Document).
Create event cost summary (Dolce Billing)
Provide Front Desk with rooming list
Add participants name to I-visitor
Inspect meeting rooms prior to start of function for accurate set up.
Greet clients in the morning. Review daily events and communicate daily agenda changes to all operating departments as needed.
Attend daily department meetings and weekly resume meetings.
* This position requires a minimum formal education of a high school degree.
* Must be able to speak, read, write and understand English which is the primary language used in the workplace.
* Must be able to read and write to facilitate the communication process.
* Requires good communication skills, both verbal and written.
* Knowledge of all departments of conference center.
* Ability to communicate customer needs and resolve complaints.
* Ability to identify and develop accounts with individual guest room needs.
* Ability to establish and master goals.
* Must possess basic computational ability.
* Ability to work collaboratively and communicate effectively with team members at all levels of the organization.
* Must have employment eligibility in the U.S.

* Must be able to sit at a desk for up to 5 hours per day. Walking and standing are required the rest of the working day. While attending trade shows, must be able to stand for up to 8 hours per day. This includes traveling to and from meetings and may include air travel. Length of time of these tasks may vary from day to day and task to task.
* Must be able to exert well-paced ability to reach other departments of the hotel on a timely basis.
* Must be able to lift up to 15 lbs. occasionally.
* Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity. Some portions of daily assignments involve ergonomic risk, such as repetitive tasks, hands exertion, vibration, cold temperatures, poor body mechanics, restrictive work stations or awkward postures.
* Some portions of the assignments may require travel to other hotels, trade shows and client events via car, plane, rail, subway or other mode.
* Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates.
* Vision occurs continuously with the most common visual functions being those of near vision and depth perception.
* Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.
