1. Assist managers to ensure all proposals are typed
accurately and sent to clients on a timely basis.
2. Schedule and coordinate appointments for sales
staff if needed.
3. Ensure all managers receive the proper assistance
to complete their jobs. Assist with signed contract
receiving, proper payment documentation, counts in
on time, diagrams provided, master account numbers
for billing and arrangements.
4. Liason between sales manager and client to develop
relationship with customer.
5. Trained to handle small events for birthday parties
and in house events.
6. Maintain filing system for incoming and outgoing
paper flow.
7. Answer all calls in a friendly and professional
manor, providing information, taking accurate
messages or route calls accordingly.
8. Greet visitors; ascertain nature of business and
conduct to the appropriate person.
9. Make copies of correspondence or other printed
matter.
10. Compile Mass mailings for monthly solicitation.
11. Coordinate monthly article for boca club life for
club members.
12. Assist with all collateral materials for company
with director.
13. Liason on job sites when multiple events taking
place at the same time.
14. Be certain all information is obtained from client
for production meeting review.
15. Keep work area organized, ensuring sufficient
office supplies are maintained.
16. Track and maintain all pictures of events.
17. Accept and check all incoming vendor orders if
necessary.
18. Compose and type routine correspondence, including
work orders, memorandums and prepare production
change orders.
19. Handle all guest/client complaints and inquiries
in a courteous, effective manner or route
accordingly.
20. Maintain current filing and tracking system for
all incoming and outgoing paper flow.
21. Contacting vendors for missing and/or late
products.
22. Maintain a safe working environment. Report and
correct, if possible, any unsafe acts or conditions.
Perform other related duties as assigned or requested by
supervisors/managers.

Minimum 2 years experience in clerical. Typing at 65WPM,
letter composition, word and excel experience with MS
Word. Understand/Speak/Read/Write English fluently.
Excellent communication and presentation skills.
Occasionally lift/carry up to 50 lbs. Must be able to
sit, stand, stoop or bend for duration of shift(at least
eight hours).
