This position is located in our newest property addition in The Americas.  Formerly known as The Mansion on Peachtree, the Mandarin Oriental, Atlanta, luxury hotel comprises 127 spacious guestrooms and suites, providing guests with unparalleled views of the city. Facilities include an all-day dining restaurant and lounge bar, as well as a wide selection of meeting rooms, including a 130-seat ballroom.  The extensive spa facilities are complete with 14 treatment rooms and will feature signature therapies for which Mandarin Oriental spas are renowned. 

Overview:

It is the mission and intent of this position that the Administrative Assistant will provide high quality administrative support to the General Manager and Executive Committee. The Administrative Assistant is responsible for processing correspondence and actions accordingly, answering telephone calls promptly in the Mandarin Oriental manner and handling inquiries professionally. The incumbent must maintain a high degree of confidentiality, diplomacy and attention to details in all matters pertaining to the hotel and Executive Office personnel.

The Administrative Assistant will report directly to the General Manager.

Duties and Responsibilities:  


* Maintains appointment calendar for General Manager and keeps him informed of scheduled commitments.

* Answers incoming phone calls, directs calls to appropriate person or department and ensures telephone coverage is covered at all times. Email management in absence of General Manager

* Ensures appropriate action is taken on matters arising during absences and keep relevant persons informed of all developments.

* Processes all correspondence and action accordingly.

* Prepares expense reports using correct charge codes. Compose, type, proof-read and/or summarize correspondence, memorandums, reports, documentation and the preparation of presentations as required in a timely manner. 

* Upkeeps office supplies and carry-out secretarial duties such as photocopying, scanning, word processing, etc. as required.

* Coordinates incoming/outgoing mail and tracks A/P checks.

* Any other responsible work-related task as directed by the General Manager and Executive Committee.

* Liaise closely with other Personal, Executive or Administrative Assistants in particular regarding travel arrangements.




 

 

Requirements


* Previous hotel experience

* Able to communicate written and spoken English

* Excellent overall communication skills

* Able to multi-task

* The ability to work well independently

* Able to sit for extended periods of time

* Must be professional and possess excellent presentation, communication, organization, and effective time management skills

* Flexible part-time schedule with the willingness to work on holidays or weekends if needed
