Job Description
The Sales Coordinator is responsible for, but not limited to, preparing site inspections, reserving guest rooms, scheduling group meals, facilitating group tours, booking internal meetings, and monitoring and ordering of VIP gifts and amenities. The Sales Coordinator will take ownership of administrative duties, including, but not limited to, handling payroll, ordering supplies, processing expense reports, managing follow up communication with guests & customers, and organizing messenger services. The ideal candidate must be comfortable working with data and reports and be able to format reports as needed by the Sales team. The Sales Coordinator will assist with developing and delivering presentations both for internal and external guests. The Sales Coordinator effectively communicates with Hotel Operations and the Metro Market Sales Organization (Group, Catering, Business Transient, and Revenue areas), working with sellers, leaders, and customers of the NYC Metro Market Sales Organization. The Sales Coordinator collaborates with Metro Market Site Specialists, GM's coordinator, and other hotels (Starwood) Generalists for Metro Market and Hotel(s) requests. The Sales Coordinator works with Director of Sales, Director of Revenue Management, Conference Services and internal hotel operational departments to execute the W Hotels of New York Sales & Marketing Mission and Brand Standards, surrounding all sales/promotional/customer-facing activities, to ensure that the hotels communication is on brand. This position reports directly to the Director of Sales. The ideal candidate will have a dependably positive and patient attitude and be able to handle multiple situations at one time and able to handle a diverse level of challenges. Excellent communication skills, including listening, speaking, and writing required to effectively communicate with Executives and multiple levels of management. The ideal candidate will display strong team work and organizational skills.
Requirements
-High School Diploma Required; Bachelor's Degree highly preferred -1 -2 years in a Sales Coordinator role or related experience preferred -Must be proficient in Microsoft Office (i.e. - Word, Excel) and other applicable computer systems. Knowledge of Hotel Systems preferred. -Must be able to work a flexible schedule, including holidays & weekends. -Luxury Hotel experience highly preferred. -Excellent verbal and written communication skills required -Must be able to sit at a desk for up to 8 hours per day. -Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, electric typewriter, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.
