Group Rooms and Revenue Coordinator

A member of Hilton Hotels Worldwide, the 336-room hotel is as pop culture as they come, with interactive video art, themed guest room floors and amazing premier event space. We are looking for a Group Rooms and Revenue Coordinator to join our amazing team!

POSITION FOCUS
Responsible for operational & administrative functions for group block management. Enters and maintains all details associated with group rooms. Consults with the sales and revenue teams on potential group changes and other revenue-affecting details.
Responsible to assist the sales and revenue teams in maintaining and enhancing the revenue management systems in order to increase daily productivity through group management. To accurately generate and process all group revenue associated reports that are communicated with hotel staff, along with the Director of Revenue Management.

Essential Duties/Responsibilities:
Enter and verify all group reservations and group room blocks.
Update all hotel information in the reservation system, including billing, reservation dates, rooming lists, individual calls, cut-off dates, and any other pertinent information.
Manage all citywide block pickup information, and input all rooming lists
Participate in any group block audits for citywide blocks as required
Conduct weekly group cut-off meetings
Verify the information interfaced between Delphi and property PMS system
Ensure Pickup complete is accurately completed each month.
Respond to all group reservation inquires in a timely manner
Participation in preparing statistical reports for weekly strategy meeting
Complete a 30 day demand analysis, 30, 60, 90-day competitive rate analysis.
Participation in month end analysis, weekly STR analysis, weekly updates of 0515
Maintain a friendly, cheerful and courteous demeanor at all times.
Answer any phone inquiries related to group blocks.
Respond to voicemails and emails.
Ensure accuracy of check in and blocking procedures.

Blocks:
Update and verify market segments.
Update and verify group owners.
Add contact information into group blocks notes.
Suppress rates and add notation for rooming list groups.
Verify the information interfaced between Delphi and Opera or property PMS system.
Verify room block accuracy and correct inaccurately made reservations.
Inform sales managers of pick up information.

Rooming Lists:
Enter and update all rooming lists within 24 hours.
Maintain communication with contacts in reference to rooming lists and special requests.
Manage all city wide reservations through housing bureaus.
Set routing and billing as per instructions.
Send out regular emails updating contacts with rooming list changes and pick up reports as requested.

Contracts:
Create and maintain filing system for each group.
Load, remind, and enforce cut off dates.
Build cut off information into Outlook.
Verify all details (including concessions) of contracts.

Resumes:
Build resumes for rooms only groups.
Verify details with group contact.
Attend weekly staff meetings and present resumes.

Other:
Maintain the reservations central communication board.
Have information on all groups accessible for all departments.
Relief back up for reservations.
Attend weekly Sales meetings.

Excellent hearing required for telephone inquiries and client and associate handling. Excellent vision required as contracts and letters are hand written, filing, using computer, checking diary. Excellent speech communication skills necessary to communicate clearly with customers and other departments. Excellent comprehension and literacy required to read manager's letters, help prepare contracts and proposals. Excellent attention to detail and multi tasking skills

Abilities
Bending/kneeling - repeated bending and kneeling required while filing, Mobility - must be able to reach all areas of hotel to assist clients. Occasional standing. Occasional carrying and lifting of files and office items up to 25 lbs.

Education/Formal Training
High school diploma or vocational secretarial.

Experience
Previous sales, hospitality, and secretarial experience preferred.
