By placing the hanger on your door, you will be declining guest room cleaning for the day. This will help reduce the hotels’ energy and water usage.
Administrative Assistant

POSITION FOCUS
Perform administrative assistant functions to include: maintaining correspondence files, screening mail and phone calls, faxing, copying and distributing communication on a timely and accurate basis, typing letters, initiating/composing correspondence, and calendar coordination.

ESSENTIAL RESPONSIBILITIES
Perform assistant functions to include: travel arrangements, maintaining correspondence files, screening mail and phone calls, faxing, copying and distributing communication on a timely and accurate basis, initiating/composing correspondence, and calendar coordination.
Possess the flexibility to react to challenging and dynamic situations.
Maintain appointments by planning and scheduling meetings, conferences, teleconferences, and travel.
Represent team when dealing with other associatess, clients, partners, community leaders, and the public.
Maintain executive and company confidence and protect operations by keeping information confidential.
Maintain an effective trace system for items/tasks requiring follow up.
Maintain files and projects.
Coordinate and conduct expense reporting for department members.
Fill out Personal Time Off requests and ensure proper signatures and routing to payroll.
Develop independent rapport with, and knowledge of, clients/contacts for department head and staff members.
Create, maintain, and manage systems for projects and tasks.
Anticipate and address issues with the initiative and ability to solve problems independently or offer solutions to the issue at hand.
Attend various meetings and produce timely minutes, as required.
Cooperate with other administrative support individuals to achieve department objectives.
Provide relief support for front desk receptionist and other Administrative Assistants.
Handle guest complaints that come into the front desk.
Be available to assist on special projects and presentations assigned by support team members.
Follow all Sage Hospitality’s SOP’s.
Maintain a clean, organized and presentable work area.
Maintain timely and effective paper flow and communications within the office
Maintain cleanliness and order of the executive office
Assist with any administrative requests from support team members
Professional and positive communication to both guests and fellow associates
Other duties as assigned by leadership.

Excellent vision required as contracts and letters are hand written, filing, using computer, checking diary.

Excellent attention to detail and multi-tasking skills
Abilities
Bending/kneeling - repeated bending and kneeling required while filing, Mobility - must be able to reach all areas of hotel to assist clients. Occasional standing. Occasional carrying and lifting of files and office items up to 25 lbs.
Education/Formal Training
High school diploma or vocational secretarial.
Experience
A minimum of 5 years of administrative support experience preferred.
Material/Equipment Used
Microsoft Office Products, including Word, Outlook, PowerPoint, Excel. Office Equipment including but not limited to: computer, printer, facsimile machine, copier, telephone, and scanner.
