Job Description
POSITION PURPOSE Support the Sales Department by giving secretarial support to all sales professionals, greet and assist visitors, answer incoming calls to the Sales Office and assist in handling any client complaints that come to the office. May assist the Catering Department and our two sister properties from time to time. ESSENTIAL FUNCTIONS AVERAGE % OF TIME 25% Perform clerical duties such as typing correspondence and reports, filing, and answering phones. Maintain and upkeep various filing systems, including vendor information where necessary. 25% Receive visitors and guests. Answer questions and concerns; follow through either to resolution or refer to the appropriate manager. 15% Assure all incoming and outgoing correspondence is typed, received, mailed, e-mailed and/or filed as required. 15% Assist managers in scheduling appointments, meetings and travel arrangements for business trips as required. 20% Maintain and upkeep of all office equipment. Other: Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment. Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required. Upon employment, all employees are required to fully comply with Starwood rules and regulations for the safe and effective operation of the hotel's facilities. Employees who violate hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment. SUPPORTIVE FUNCTIONS In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the particular requirements of the hotel: oOrder and maintain office supplies. oOrganize and maintain filing system. oHandle Sales Inquiries. oProduce client proposals. oProduce client contracts. oRegularly perform duties within sales data base. oConduct research on potential clients. oOccasionally conduct property tours for potential clients. oProduce expense reports managers. SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities: o Must be able to speak, read, write and understand the primary language(s) used in the workplace. o Must be able to read and write to facilitate the communication process. o Requires good communication skills, both verbal and written. o Must possess basic computational ability. o Must possess computer skills, including Microsoft Office 97, Excel and PowerPoint. o Knowledge and experience with Sales Delphi date base preferred. o Ability to accurately type at least 50 words per minute. Physical Demands o Most work tasks are performed indoors. Temperature is moderate and controlled by hotel environmental systems. o Must be able to sit at a desk for up to 8 hours per day. Walking and standing are occasionally required.
