Job Description
Responsible for working with the convention/meeting
planners in coordinating the final details for
conventions/meetings.
Provide smooth flow of information (communication) to
all departments and department heads relevant to the
needs and requirements of upcoming and in-house groups.
Prepare resumes for groups.
Re-checks function space in DELPHI to ensure proper
space has been assigned.
Creation of profitable menus and distribution of client
expectations to Food and Beverage Departments
Maximize revenues for the hotel through up-selling
techniques
Prepares Banquet Event Orders for groups
Provides hotel site inspections when necessary
Entertains clients to establish closer working
relationships when appropriate
Establishes and maintains rapport with outside purveyors
who provide services for the Hotel and its guests
through the Conventions Services Department
Recommends special outside services to meeting planners
when required.
Coordinate Catering support services (flowers,
entertainment, decoration, A/V, etc?) to provide
complete client satisfaction
Conducts pre-convention meetings prior to conference
when necessary
Physically double-check all function arrangements
against specifications of client. Correct where
necessary.
During a conference, ensure the meeting arrangements are
to specifications.
Works closely with the Hotels? Accounting Department to
ensure billing is approved and set-up according to
meeting planners and Hotel?s specifications
Upon conclusion of conference, review final bill and
evaluation with meeting planner
Attention to detail regarding VIP?s and
convention/meeting staff due to our high volume of VIP?s
and staff
After the conclusion of meeting, reviews final bill and
comments with meeting planner.
Other duties as assigned by Director of
Catering/Convention Services
Job Requirements
Must have at least 2 years of event management
experience - preferably in a hotel.
Must have excellent verbal and written communication
skills.
Must be proficient in Microsoft Office products
including Word, Excel and Outlook.
Preferred candidates will posess:
Delphi Sales Systems experience
Four-year college degree
Hotel operations experience
Good knowlege of food & beverage
CMP designation
Work Schedule
Typical work schedule is Monday - Friday with some
weekends. Hours will typcally range 7am - 8pm.
