Job Description

. Responsible for instituting computer operations to post room and tax and end of day reports.

2. Prepare all Daily Accounting Reports including:

a. Daily flash report including month to date figures in rooms sold, rooms occupied, occupancy percentage, net room revenue, average daily rate of rooms sold, average daily rate of rooms occupied, and completion of the daily and month to date marketing mix.

b. Print all computer generated reports.

3. Complete accounting operations including:

a. Balancing all accounts in the transactional detail report.

b. Reconciling the Guest ledger, the City Ledger, the Advance Deposits, and the Flash Report with the Computer Report.

c. Ensure all postings are correct and correct all errors.

d. Verify and completely prepare allowance vouchers for every adjustment.

e. Check all registration cards in the bucket for credit card imprints, address, and signature.

f. Ensure that all tax exempt accounts follow the guidelines. They must be paid directly by a governmental agency either by a government credit card, direct billing, or advance deposit. Exemption certificates should be completed for non profit organizations such as Asia Foundation.

g. Ensure that there are no due back vouchers older than one (1) day except on weekends.

4. Print Computer Reports and lists for start of day operations including:

a. Arrival lists.

b. Alphabetical telephone lists.

c. Special request lists.

d. Room discrepancy reports.

e. Departure report.

f. Daily work sheets.

5. Print incoming registration cards.

6. Close all House Accounts on the last day of the month.

7. Do marketing query reports such as corporate and travel agent reports.



Guest Service Agent Responsibilities:



1. Review arrivals noting special requests, blocking rooms as needed.

2. Check in and out hotel guests in a confident, professional and friendly manner.

3. Answer all phone calls promptly and knowledgeably, always ensuring complete and accurate information.

4. Complete all items on appropriate (AM, PM, Graveyard) checklist by end of shift.

5. Conduct pre-assignment of hotel rooms, which includes VIPS, repeat guests, all packages, and any special requests.

6. Follow established key control policy.

7. Ensure proper credit policies are followed.

8. Issue guest safety deposit boxes.

9. Submit all lost & found articles accompanied by a completed lost & found report.

10. Knowledgeable of immediate area, services, attractions, and events.

11. Assist with Concierge services in the absence of the Concierge.

12. Knowledgeable of fire and emergency procedures.

13. Open, secure, and balance out daily shift bank which involves counting and verifying cash, check, and credit card transactions occurring while on duty.

14. Verify credit limit report.

15. Monitor room availability throughout the day.

16. Review daily the selling status of the hotel using yield management system.

17. Attend department meeting once a month.

18. Performs all other duties as directed by immediate supervisor.

19. Other Department related duties as become necessary.

20. Contact via telephone with the other departments such as Reservations, Sales, Housekeeping, Bell Staff, and Valet is crucial to ensure that hotel services are coordinated to provide the best in guest satisfaction.

Job Requirements

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED); or six months to one year related experience and/or training; or equivalent combination of education and experience.



LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.



MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ration, and percent and to draw and interpret bar graphs.



REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.



OTHER SKILLS and ABILITIES:

Operating Otto Clerk, Data Capture, Telecheck Systems, and PBX. Must be accountable for balancing daily shift bank. Also must maintain organization image by demonstrating quality service at all times.
