Reopened in the fall of 2012, the Weekapaug Inn is located in the peaceful community of Weekapaug, Rhode Island, with sweeping views of Quonochontaug Pond, and the Atlantic just beyond.  Inspired by classis Cape-Cod style, the building is covered with red cedar shingles and accented by dark brown trim.  The property features 27 guest rooms and four Signature Suites, with farm-to-table fine and casual dining and boutique event space.

The Weekapaug Inn was recently accepted as a member of Relais & Chateaux.  There are 542 Relais & Chateaux properties worldwide but only 40 in the United States, 3 in Rhode Island and the Weekapaug Inn is the first to be a member after operating for only ninety days.

As sister property to the Ocean House, located just five miles away in Watch Hill. Guests of the Weekapaug Inn enjoy access to all of the amenities and facilities at the resort including five restaurants, a private beach, activities and programming, yachting, the OH! Spa and others.

    

The Assistant Controller’s duties are to perform accounting and budgetary work and other financially related tasks as required by the Director of Finance. This position will be required to prepare financial statements and reports, analyze costs, maintain budget files, interpret and analyze financial record, prepare bank reconciliations and various month end schedules. He or she will be applying principles of accounting to analyze financial information and prepare monthly internal reports. Interaction will be required with the various departments throughout the company.

Leadership Responsibilities:

  • Constantly and consistently exhibit Ocean House core values and standards of behavior including adherence to the Forbes 5-Star standards.
  • May be asked to function in the absence of senior management to interact with other management personnel and associates in order to oversee the accounting of the hotel.
  • Manage budget and expenses of the hotel

Administrative Responsibilities:

  • Prepare internal and external financial statements by gathering and analyzing information from the general ledger system and from operating departments.
  • Prepare documents summarizing all relevant financial information for submission to Senior Management and applicable third parties on a monthly and quarterly basis. Prepare with detailed and complete explanations for year over year, budget versus actual, and forecast versus actual variances
  • Prepare accurate and timely monthly and quarterly financial reports including various reports for the monthly statistical report
  • Perform various monthly closing responsibilities
  • Maintain and balance an automated interface between the ResortSuite property management system and the General Ledger system by inputting data; scheduling required jobs; verifying data.
  • Analyze information and options by developing spreadsheet reports; verifying information.
  • Responsible for the accurate and timely recording and reconcilement of various general ledger accounts, including the analytical review of corresponding expenses:
  • All bank accounts other than the payroll account;
  • Prepaid Expense accounts;
  • Inventory accounts;
  • Intercompany accounts;
  • All condo association related calculations to arrive at accounts receivable and payable;
  • Payroll, payroll tax, gratuity, bonus, vacation, worker’s comp and other related expense and accrual accounts;
  • Accrued sales tax payable;
  • Accrued insurance accounts;
  • Accrued miscellaneous account; and
  • Other accounts, as required
  • Responsible for the accurate and timely keying and uploading of journal entries.
  • Prepare and maintain rolling 10 day forecast of revenues, labor and other material variable expenses
  • For each and every inventory category, confirm month-end physical inventory counts with relevant department head, obtain final counts and pricing from department heads, review inventory listings and investigate unusual items, and prepare book to physical inventory adjustments.
  • Prepare sales and use tax returns and prepare related payments.
  • Accrue expenses; assign account numbers; reconcile accounts.
  • Perform SG/A expense analysis comparing actual expense to the budget and/or projection
  • Provide support for various departments as necessary (i.e., creating and running reports, research, adjusting entries etc.)
  • Assist in the annual budgetary process including keying and reformatting Excel spreadsheets.
  • Assist in documentation and monitoring of internal controls
  • Assist Director of Finance in completion of year-end audit processes, which includes interaction with audit firm, creation of work papers, development and monitoring of key controls and creation of financial statements.
  • Develop and implement new accounting procedures by analyzing current procedures; recommending changes as needed.
  • Assist in special projects, as necessary.
  • Mentor and assist accounting staff.
  • Cross train on other department duties.
  • Answer accounting and financial questions by researching and interpreting data.
  • Perform back-up for key activities of Director of Finance
  • Accomplish accounting and organization mission by completing related results as needed.

Internal Relationships:

Reports to the Director of Finance.  The Assistant Controller works closely with the finance assistant, resort management, human resource and sales management.

Qualifications:

Bachelor's degree; at least 3 to 5 years of work experience that can be demonstrated to be applicable to the duties listed in the job description. Experience in the luxury hotel/resort industry is preferred.
