ARAMARK Conference Centers properties range from corporate, government and non-profit centers to hotels and inns affiliated with leading colleges and universities across the country. With over 40 properties, the size and market scope vary but all have an emphasis on the guest's unique experience. The Director of Conference Services is responsible for overseeing the Conference Planning and Audio Visual Departments. This position will work with the client organization in supporting their sales effort through additional customer/client outreach. This position will also continuously work on the Fluno Center strategic plan, complete projections on a monthly basis and work with customers to ensure that their expectations have been met and exceeded. Essential Functions:- Oversee Conference Planning Managers, which includes catering responsibilities, following established approval procedures, following up with customers and ensuring that reprojections are accurately reported.
- Develop budget for department and ensure financial resources are managed effectively with monitoring done at least weekly.
- Handle any and all dissatisfaction issues that may arise regarding the Conference Planning and Audio Visual Departments and follow up as necessary.
- When applicable, meet and greet each contact person prior to the groups' meeting or conference, or coordinate that activity, and follow up with that contact person to ensure satisfaction and resolve any concerns.
- Conduct bi-weekly one-on-one meetings with staff and arrange at least one monthly meeting with all Conference Services staff to ensure ongoing and consistent communication.
- Respond to guest concerns and exhibit a professional attitude towards guests and clients and seeks to meet and exceed customer expectations.
- Work with the on-site support staff for each of the classes resolving any issues or problems that arise during their training session.
- Coordinate pre- and post-conference meetings with customers, as applicable.
- Train Conference Planning staff as required.
- Responsible for the ordering of office equipment and supplies essential to the Conference Planning Department.
- Meet with all operations departmental managers on a weekly basis reviewing all meeting needs for the upcoming weeks.
- Inspect all meeting and breakout rooms before classes or meetings start to ensure that they have been setup properly and all Audio Visual equipment is present. Instruct staff accordingly.
- Supervise and monitor team members to ensure a high level of guest service is delivered at all times. Empower staff to answer questions and make appropriate decisions.
- Ensure that the Fluno Center priorities are met in an accurate and timely fashion. Consistently evaluate and provide feedback to the appropriate department.
- Enforce and ensure that ARAMARK and Fluno Center policies and procedures are properly understood and followed.
- Review future and present business and communicate all information and changes to all personnel departmentally and interdepartmentally.
- Promote a positive work environment within the department and throughout the facility.
- Establish and maintain cooperative relationships with other facility employees and managers.
- Follow through on all established ARAMARK and Fluno Center policies, procedures, and house rules. Confront and communicate all team members and management issues.
- Give guidance to managers and team members in their professional development so they are prepared for opportunities to advance themselves.
- Conduct all disciplinary and non-disciplinary investigations under the direction of Human Resources and issue a full account/report to Senior Management.
- Communicate all appropriate information to managers and team members and always maintain an open door policy for team members and managers to comment and give feedback.
- Design and implement training programs to insure that all staff are well-versed on daily job functions, safety awareness, and ARAMARK policies and procedures.
- Participate in the Manager on Duty Program.
- Ensure that all management and team members are well groomed, in proper uniform, and have a nametag.
- Analyze financial data to meaningful results
- Ideal candidates will possess a bachelor's degree, and 3-4 years of Conference Planning experience, and 2-3 years of sales experience.
- The ability to manage a team of employees, including 2 management positions, in a diverse environment with focus on client and customer services is essential.
- The skills to analyze financial data to meaningful results.
- Contract-managed service experience is desirable.
