Reunion Resort & Club is seeking a Membership Associate to assist with  members account administration.  Reunion Resort & Club features world-class amenities and personalized service in a private club setting. Our members receive a level of luxury unlike any other for an unparalleled experience.

POSITION OBJECTIVE

To provide support in all areas of the membership department, and must fully understand and communicate the rules, regulations and policies of the membership plan

 

 

ESSENTIAL JOB FUNCTIONS

 

  • Presents the club – highlighting benefits, levels and descriptions of membership classifications available to all potential members and verifying correct membership levels and options available
  • Communicates to real estate agents pertinent membership information along with changes in procedures and policies
  • Responds to inquiries from existing as well as potential members
  • Documents potential and new member communication in databases (ACT and JONAS)
  • Assists with obtaining HUD’s and/or warranty deeds from buyer/sellers as closings occur
  • Sets up new accounts and makes changes to existing accounts in JONAS as necessary
  • Compiles and distributes (by mail, when necessary) New Member Welcome Packages and forwards information received on New Member Contact Form to appropriate departments
  • Maintains and updates existing membership files
  • Establishes employee club accounts, both personal and business
  • Acts as liaison between members, other departments and management
  • Responsible for understanding the process of suspending and terminating member accounts
  • Responsible for understanding the process of financing and refunding Membership Deposits
  • Assists Membership Director and Accounting with obtaining updated credit card or bank information for declined or expired cards
  • Assists with follow up on accounts with aging balances via emails, phone calls and letters as  necessary
  • Manages the entire houseguest card process, including sending confirmation to member of houseguest form receipt, continuous follow-up with members and guests when forms have not been received, tracking of houseguest days for all members on an annual basis, and timely billing of houseguest fees and late charges
  • Hosts and/or attends member events regularly
  • Responsible for promoting member events through personal interaction with members, registration for all member events and billing of member event charges
  • Assists with member communications as needed, including the monthly membership newsletter, weekly eblasts, Member’s Only website, Membership Monthly, Clubhouse monitor and potentially, social media and a Membership Directory
  • Responsible for maintaining and tracking pertinent information to enable the Director of  Membership to produce week and month end reports
  • Other assigned duties that may be established from time to time
  • Performs job responsibilities and operates equipment according to the company safety and training programs
  • Reports safety or hazard concerns to management
  • Reports any on the job injury to management
  • Takes personal responsibility for safety every day

 

EDUCATION/EXPERIENCE

 

  • Advanced knowledge of Microsoft Office, JONAS and ACT
  • Ability to handle members and guests in a gracious and professional manner
  • Excellent verbal, telephone and written skills
  • Strong team player with ability to handle diversified workload
  • Three to five years experience in an administrative position desired
