Principle Responsibilities & Position Purpose:
Responsible for the Wellesley College Club accounting and financial management requirements. Managing the accounting procedures, procurement function and electronic data processing systems. To provide the general manager and college controller with meaningful and timely information on the status of the Club's performance. To assist proactively with cost containment, revenue enhancement, profit improvement opportunities and safeguarding
of the college's assets
EXAMPLE OF DUTIES:
ESSENTIAL FUNCTIONS
1. To maintain proper and complete accounting records of the club.
2. To ensure that the accounts, records, and transactions of the club are accurate and correct at all times
3. To implement all necessary controls to safeguard the assets of the club.
4. To prepare and interpret the financial statements and reports of the club
5. To provide financial information to management as tools for maximizing profits and planning for the future. Reports which should stimulate management action.
6. To ensure that the established controls and procedures in respect of the controller's areas of responsibility are being complied with at all times. Act as liaison to college controller's office and provide requested information in an accurate and timely fashion
7. To ensure the clubs Property Management Systems and their software are fully utilized, well safeguarded and properly maintained. To implement future changes/additions to the electronic data processing systems of the club
8. To ensure that the club complies with the established credit and collection regulations and procedures, with particular attention to memberships, front office and banquets.
SUPPORTIVE FUNCTIONS
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by management based upon the particular requirements of the company.
1. Fulfill special requests for guests
2. Assist with additional duties of managers not within the accounting department
3. Front Desk Coverage when necessary
4. All other reasonable requests made by management
SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.
- Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflicts. Excellent interpersonal skills to provide overall guest satisfaction.
- Basic knowledge of the property structure/layout and how all departments interact.
- Proficiency in the use and operation of computer systems with the ability to navigate efficiently through Word, Excel, GMail, Room Master, Cater Ez, M3, Banner, Internet or other Enterprise resource systems desired.
- Possess a good conceptual understanding of electronic devices and the ability to operate such items as copy and fax machines, voicemail system, computers and radio systems.
- Excellent communication skills, both written and verbal and the ability to read write and speak the English language to fully comprehend guest requests, memos, proposals and general correspondence.
- Must possess necessary skills to include problem solving, decision-making, leadership, organization, planning, initiative, enthusiastic attitude towards customer service and a commitment to a team environment.
- Ability to arrive to work on time and when scheduled
- Be flexible concerning scheduling needs and requirements.
QUALIFICATION STANDARDS
EDUCATION
Two 2 year college (Associate's degree) required, with concentration in accounting; or equivalent combination of education and experience.
EXPERIENCE
Must have at least one year of previous hotel or administrative experience

GROOMING
All team members must maintain a neat, clean and well-groomed appearance (specific standards available).
OTHER
Ability to read and comprehend instructions and effectively present information in one-on-one and small group situations to customers, clients and other employees
Additional language ability beyond English preferred.
