Job Description

The Hotel Palomar Washington DC, a Kimpton Hotel, is seeking qualified, experienced candidates for the position of Senior Conference Services Manager. This position reports to the Director of Sales and Marketing.

Key duties and responsibilities include but are not limited to:
-Receives group & transient files from Sales Department and reviews them for accuracy and thoroughness
-Provides initial written communication with client once file is received via conference services introduction letter.
-Provides verbal follow-up/introduction within 48 hours from receiving the file.
-Provides written and verbal communication to client regarding the management of their account to include, but not limited to: quarterly production, banquet event orders, letter notifying cut off is approaching, cut off has passed, pick up reports, attrition calculation, billing information, etc.
-Maintains contact with client on a regular basis to develop a relationship; once group or transient contact is onsite required to meet client daily to ensure 100% guest satisfaction.
-Outlines all details of group or day catering events in the form of Banquet Event Orders and other reports so as to provide timely information to hotel departments regarding set-up, purchasing, and scheduling needs.
-Sends all Banquet Event Orders to clients for their review.
-Responsible for receiving rooming lists on time and monitoring reservation receipt and entry and group pickup; as well as assisting the client to understand the clauses in the contract in regards to room cut off, attrition, cancellation, etc. Prepares group resumes containing details of all reservation, billing, and Banquet Event order information.
-Evaluate changes in guest needs, the hotel's guest mix, and industry and competitive trends to recommend appropriate product/service and operational changes to be made to ensure guest satisfaction, and to maintain market dominance and exceptional financial returns.
-Distributes Banquet Event Orders and group resumes to appropriate hotel departments to facilitate efficient purchasing, planning, and employee scheduling.
-Schedules and coordinates pre-convention meetings for all assigned groups
-Ensures that information regarding daily functions (group, catering & in-house) are clearly posted via the hotel's guest information system and in general meeting areas.
-Works with the accounting office to ensure all billing is 100% accurate prior to sending out the final bill to the client; bill review is mandatory.
-Posts all related charges to the group in Lanmark including room rental, vendor fees, porterage, etc. Provides outstanding customer service to clients while they are in the hotel to ensure total guest satisfaction. Maintains accuracy of conference management information in Delphi.
-Works on special projects as assigned by the Area Director of Sales or Hotel Manager. Attends all applicable hotel meetings: department, staff, food and beverage, sales, and BEO review meeting, etc.
- Maintain all Loyalty accounts for the hotel - to include generating introduction letter, set up booking code, deliver booking code information to the client, call on twice a year and evaluate if they can be moved to the preferred program. Responsible for maintaining relationships, coordinate happy hours, building breaks, office receptions, as needed based on their level of production and as directed by the Consolidated Sales Office. Other duties as assigned
-Be a team player will all department personnel including housekeeping, F&B, reservations, sales, front office, accounting, etc.. ----Assists in building strong relations with other hotel departments, employees, and outside agencies and vendors.

Job Requirements

2-4 years hotel conference services, sales or catering experience with achievement of Bachelor's Degree in hotel/restaurant/hospitality management or equivalent. Other qualifications and requirements include but are not limited to: knowledge of hotel rooms & food and beverage operations, sales process; complete understanding on all clauses of sales & catering contracts, general knowledge of all hotel departments; emphasis on reservations & front office a plus. Excellent communication, organization, and guest relations skills, and ability to work a flexible schedule, including weekends and holidays.
Knowledge of Delphi and WinAI a plus.
