The Sales Coordinator provides administrative support to the National 4-H Youth Conference Center Sales and Marketing Associates by performing a variety of tasks necessary for the daily operation of the office. In addition, this person shall be responsible for booking group business with less than 5 room nights. This person shall also provide coordination, logistical and administrative support to multiple projects, initiatives and budget stewardship for the department; assists in building effective systems and practices to improve efficiency and productivity of the Sales and Marketing Team. This person must exhibit imagination, problem solving and critical thinking skills. Possess enthusiasm to work as a team player in support of team goals and responsibilities. Special emphasis is placed on flexibility with work assignments, efficiency and quality, that contributes to a hospitable environment for staff and guests.
- Books small groups of less than 5 room nights including groups requesting meeting space only.
- Works with Senior National Sales Manager to maintain on-line booking reservations.
- Manages incoming calls on the main sales phone #’s.
- Distributes leads from various lead channels to sales team
- Coordinates adding of account tracking information to the reservation system, including promo codes and web-form tracking numbers
- Creates presentations as needed by Director of Sales and Planning (DOSP), Marketing Manager, and Sales Team.
- Undertakes and coordinates sales and marketing research projects as outlined by the DOSP and Sales Team
- Coordinates the sales team's travel itinerary and exhibit booth/ supplies for trade shows and sales missions.
- Assists Marketing Manager in completing selected marketing activities including but not limited to managing payments and budget stewardship, memberships, placing of advertising, creation of advert copy and marketing collateral, monitoring and supporting SEO and SEM activities, and others activities the drive lead generation.
- Prepares proposals, contracts, and client letters for Sales Team.
- Monitor and assist sales and revenue teams regarding demand trends, revenue management, specials and promotions.
- Prepares all sales related reports derived from reservations software reporting package
- Maintain high level of customer service in handling client inquiries
- Plans and communicates quarterly sales team retreats + bi-annual team service day
- Assisting with acquisition of new business; preparation of commercial mailings, and following up by telephone and email. Comfort with cold calling/prospecting for new business
- Assists sales team with management of industry memberships and partnerships, including dues, website listing updates, communications, etc
- Assist with operational planning and projects.
- Acts as the conference center liaison for clients and prospective clients when Sales Managers are not present.
- Performs all duties and responsibilities in a timely and efficient manner in accordance with established policies and procedures as described in National 4-H Council’s Associates Handbook and elsewhere.
- Other duties as assigned.
QUALIFICATIONS:
- Previous experience in hospitality sales is an asset
- Previous administrative experience preferred
- Goal-oriented; proficient in prioritizing and managing multiple tasks in a fast-paced environment.
- Strong project and time management skills; strong verbal and written presentation skills; excellent analytical and problem solving skills, interpersonal skills and customer service orientation.
- Ability to communicate effectively through telephone, email and written communications.
- Ability to develop effective systems and operations to support teamwork.
- Ability to work independently with minimum supervision.
- Strong organizational skills and attention to detail.
- Ability to work effectively under pressure and meet established goals and objectives.
- Advanced Microsoft Word, Microsoft Outlook, Microsoft Excel and Microsoft Internet Explorer skills.
- Proficiency in Delphi or Opera reservations systems a plus.
