Denihan Hospitality Group seeks experienced Executive Assistant to support high level executive.

 

Essential Functions:

* Takes responsibility for time management by:

Managing contact list in Outlook
Managing calendar
Making business and personal appointments

* Manage verbal and written communication by:
Answering telephone calls and screening calls
Opening and separating mail/highlighting important portions of written material
Composing and distributing correspondence while maintaining confidentiality of privileged information
Transcribing meeting notes as needed

* Act as Denihan intermediary by:
Establishing relationships with outside contacts
Strong emphasis on the management of special projects
Oversee projects related to monthly financial/performance reporting to lenders and Advisory Board
Participate and seek out continuous learning opportunities

* Handle administrative tasks by:
Creating and maintaining a filing system
Purchasing supplies
Following up on deliveries
Making VIP hotel reservations and confirming and reconfirming details
Producing and processing complimentary reservation forms
Making air and ground travel arrangements both business and personal
Facilitate the handling of financial matters by:
Processing payment of invoices through the accounting department
Creating and processing donation requests
Contracting with outside vendors for services
Negotiating good rates for travel

* Expedite personal requests by:
Researching travel destinations
Making hotel and/or dinner reservations
Arranging for theater/entertainment tickets
Processing insurance and flex spending forms for reimbursement

* Make arrangements for high-level meetings by:
Scheduling meetings through Outlook
Reserving meeting rooms through Facilities and Services
Communicating agendas to attendees and assistants
Handling special requests
Arranging for refreshments if required
Making hotel reservations and transportation arrangements if required
Working with off-site locations if necessary
Taking meeting minutes if required

Essential:

* College graduate

* 5-10 years prior experience as Executive Assistant

* Results oriented

* Strong, positive interpersonal skills

* Strong Knowledge of :Microsoft Word, Excel, PowerPoint and Outlook

* Executive communication skills

* Comprehensive knowledge of customer needs

* Knowledge of all corporate support functions

* Basic understanding of financial concepts

* Ability to research, interpret and implement applicable date
