Noble is seeking highly motivated, intelligent, Sales Coordinator candidates for one of our most successful locations - Homewood Suites Alpharetta. The Sales Coordinator will be responsible for administrative support to our Sales department and meeting hte individual sales goals of this position. The successful candidates will: > Assist the Director of Sales and Catering Sales Manager with the daily responsibilities of a busy Sales office. > Meet sales goals. > Assist clients with guest room blocks or meeting room rental space. > Prepare contracts for upcoming meeting dates. > Keep all files in an organized format. > Provide clerical work pertaining to the Sales and Catering Department. > Setting up and maintaining files; daily pull files for tracing. > Answer telephones, questions, and direct calls to the appropriate person and or take message. > Type, mail and/or fax contracts, and/or banquet event orders with correct attachment papers that are required, such as, credit card authorization form, rooming list, direct bill application. > Check availability of rooms to take new or change existing reservation. > Order office supplies and maintain stock. > Complete direct billing process of information including credit references' responses and report back to the appropriate manager. |

| Update client information.
> Gather information for reader boards; data entry type, copy and distribute. > Provide information on hotel; give site inspections. > Assist in coordinating Birthday luncheon and other special functions for secretary club members, which includes mailing invitations, gathering RSVPs, and greeting attendees.> Prepare monthly reports, which include figures and charts; gather information on competitor's monthly figures and calculate competition analysis for report; write month recap of own activities. > Maintain trace card box and tickler file. > Show guest rooms; includes knocking, opening and preparing room (lights, air conditioner, radio, etc.) > Other projects, as assigned by the Director of Sales or General Manager. To be fully qualified, candidates previous experience and skills must include: > High School diploma or GED certification required - college degree preferred. > Hospitality administrative and/or sales experience - 6 months. > Good computer skills preferred. > Long hours sometimes required. > Light Work - Exerting up to 20 pounds of force occasionally, and /or 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects. > Must work well in stressful, high-pressure situations. > Must be able to prioritize departmental functions to meet due dates and deadlines. > Must be able to work with and understand financial information and data, and basic arithmetic function. > Approach all encounters with guests and team members in a friendly, service-oriented manner. > Prepare and process correspondence, contracts, Banquet Event Orders, thank you letters, function information and agendas as requested. Prioritize the workload on a daily basis. > Answer telephones for the sales department and take messages containing the necessary information needed by the managers to respond. > Ensure that all information regarding a group is sent to the proper department on schedule in order to facilitate the proper handling of each group. > Be familiar with hotel layout and menus with pricing. > Responsible for booking and detailing catering and social events. > Call groups for guarantees 72 hours in advance of function. > Keep inventory of supplies and requisition as necessary. > Distribute BEO's and other necessary information on a daily basis. > Relay last minute changes/additions to BEO's either in person or by hone to all departments effected. > Be proficient with hotel's Sales and Catering software system (Hotel SalesPro). > Be familiar with other computer software necessary for the job. > Attend all training/meetings as required by management. > Perform other duties as requested by management. |
